Process Overview- Operations Shared Service is responsible for end-to-end Client Onboarding and Data, Tax Operations, Client Services, Data Integrity and Strategy, Security Master, Regulatory Due Diligence and Approval to Transact. We act as data steward for core client & related data elements. It also supports maintaining client data and lifecycle space through system integration, data validation, automation and instituting Lean workflow principles. In addition, provides strategy across the maintenance space that focuses on enhancing existing processes while mitigating risk and leveraging vendor solutions, where applicable.

Our teams work closely across the firm to develop and deliver new products and services, while mitigating operational risk and enhancing the client experience. We drive process and technology change to scale and automate our businesses. To summarize, for every new product launched and every trade executed, it is Operations Shared Services that develops and manages the processes and controls that enable business flow and meet regulatory programs (Financial Industry Regulation Authority – FINRA, Qualifies Financial Contract - QFC, Swiss Financial Services Act - FinSA, Dodd Frank, Markets in Financial Instruments Directive – MiFID) requirements.

The manager is expected to undertake the following:

  • Know every single risk & control ID from the RCSA / RAU exercise, & ensure 100% compliance of them, including reporting and evidencing them at agreed periodic stages.
  • Problem solves trade violations of some Regulatory Programs, but not limited to (Qualifies Financial Contract - QFC, Swiss Financial Services Act - FinSA, Dodd Frank, Markets in Financial Instruments Directive – MiFID) by leveraging internal systems to discover fact patterns & thereafter to root cause and determine next steps for remediation.
  • Automate current sample checks to 100%. Identify breaks, root cause, establish systemic and process fixes for prevention and recurrence.
  • Undertake Supervisory Quality Assurance sample checks to ensure that clients are compliant with regulation and internalpolicies/requirement/procedures.
  • Identify patterns in Regulatory Programs and update the Compliance Statistics.
  • Track violations, escalate and work with various Operational teams on resolution.
  • Use Management Information to socialize trade violations.
  • Coordinate with groups to publish and highlight true violations.
  • Identify up & down stream sources of data breaks & or bad data that may result in false positives in reporting.
  • Work with Data Integrity teams to develop reports that help surface breaks.
  • Streamline the, “Track Do Not Trade List” and coordinate within Ops to remove trade links.
  • Provide meaningful subject matter expertise.
  • Understand internal/external rules/requirements.
  • Ensure all SLAs are met.
  • Steward A2T touchpoints withupstream/horizontal/downstreamstakeholders such as legal, client onboarding, reference data, financial crimes, agreement management, regulatory reporting, technology, and new products.
  • Identify and remediate (legacy or new) issues, gaps, risks, data quality and technology deficiencies.
  • Be resourceful and proactive with solutions.

  • Provide Monthly Performance Metrics of Onboarding controls in a scorecard to senior stakeholders within Shared Services
  • Provide weekly progress report showing trends of the sampling error rates with regards to manual controls, as well as commentary of key findings
  • Provide monthly scorecard of outstanding regulatory items to Approval to Transact for circulation with business stakeholders within CIB MarketsPeople Leadership Attract, retain and develop top talent:
  • Develop and maintain a world class and productive team.

  • Maintain a harmonious relationship with global stakeholders, effectively syndicating on relevant issues, influencing to arrive at the right decisions.
  • Interact and communicate with the business partners / requestors on regular basis to help them manage their expectations.
  • Institute sturdy communication channels with business partners to manage escalations and take proactive steps to avoid any form of escalations.Risk & Controls Mindset:
  • Know every single risk & control ID from the RCSA / RAU exercise, & ensure 100% compliance of them, including reporting and evidencing them at agreed periodic stages.
  • Ensure operational practices are in compliance with relevant risk standards, policies and regulations to maintain an effective control environment Responsible for Business Continuity, Breaches/Incidents and Quality Assurance
  • Ensure updating of SOPs/ Issue Logs/ Exception Logs
  • Ensure BCP strategy is in place for the team
  • Ensure that the Daily Checklist is signed off by the managers/supervisors
  • Should display an appreciation of control, quality and risk related issues. Ensure existent controls are followed by team
  • Ensure that the team has effective Quality Check process in place
  • Create and monitor trends to show Error Rates by Reg Program on a weekly basis, and socialize associated graphs during the Monthly Onboarding Scorecard meetings, and discuss the resolution of confirmed exceptions, if necessary.
  • Oversee the sampling +70 control reports within Shared Services that adhere to Regulatory Programs for completeness and accuracy, and document the process for Quality Assurance checks.
  • Lead testing of New Account Builds for 17 different desks within CIB Markets to ensure completeness and accuracy of COBAM requests.
  • Ensure the data integrity of data pulls of active entities in compliant status for +5 Regulatory Programs, and oversee the sampling to confirm all required documentation is in place prior to transaction.
  • Coordinate with Operations Shared Services teams with introducing new control reports into their BAU processes, and submission of control reports to be sunset to senior management for approval.

Delivery of Strategic Programs:

  • Support and manage the delivery of the Firm's strategic programs in a high quality, cost effective, timely and sustainable manner with risks and issues identified, prioritized, escalated and managed in a timely and open fashion This includes effective resource management (project / people / technology), and all budgetary and economic elements of delivery

Change Leadership:

  • Lead the change initiatives across the PRD function in a seamless manner in close partnership with the global stakeholders The successful individual will effect improvement across all aspects of delivery and Target Operating Model
  • Support all control reports and other processes that move from other Ops teams to Approval to Transact that are related to regulatory programs.
  • Identify opportunities for increasing operational efficiencies
  • Measures effectiveness and efficiency of the Operational processes and should be able to drive technological interventions to build scale and efficiency
  • Assist in projects on data interfaces between systems such as defining project scope, data requirements and sources/resources
  • Participate in special projects revolving around data cleanups, process improvement analysis and reporting
  • Convert business problem statements into cost effective, scalable, reliable & user friendly solutions
  • To plan & estimate efforts during analysis & requirements gathering phase.

Re-engineering Initiatives:

  • Partner with Technology and the lines of business, to deep-dive and identify potential opportunities and drive towards executable solutions, improving controls and delivering cost saves.
  • To keep updated on trending Operations requirement and manage internal stake holders to build efficiencies of scale through IT as a platform.
  • Identify the need and scope of automation in various processes and work closely with the IT team.

Required qualifications:

  • MBA or an advanced degree (or equivalent experience)
  • 14+ years Reference Data Operations or client onboarding, including specifically subject knowledge of Agreement Management (ISDA Documentation), Trade Surveillance, Regulatory Due Diligence, You’re your Customer (KYC), Market Regulatory requirements (& its impact) & experience with a top-tier bank, including 10 years in a supervisory role and motivating and leading large teams.
