Where new business is contracted through one of the 60+ GPS frameworks and DPSs, the FMT also ensures EY complies with the contractual obligations to report orders and revenues and pay any associated management charges.

Candidates will require a UK Government security clearance (minimum BPSS level) to perform this role, so must be willing to go through the required process.

Your key responsibilities as the Tenders and Reporting Supervisor

Team Support

  • Day to day supervision of the FMT Bid Coordinators to ensure they deliver the activities required by the business
  • Day to day supervision of the FMT resources in GDS to ensure they deliver support for framework and DPS reporting and compliance
  • Supporting the FMT Operations Manager through training, coaching and developing the Bid Coordinators and being the first point of contact for queries relating to the tender management processes and frameworks and DPSs
  • Agreeing and publishing weekly Shifts in Teams including allocating offline time for non-mailbox / non-App activities including LEAD, 1:1’s, coaching and training, personal learning and development, Team Meetings, FMT projects
  • Supporting the FMT Bid Coordinators to ensure the FMT mailboxes and the FMT Tender Management Process (TMP) Apps are managed to meet the Service Level Agreements (SLAs) with the business
  • Providing time critical, proactive support across the FMT to support the team in circulating relevant opportunities and updates in a timely and accurate manner
  • Supporting bid submissions on Public Sector portals (including managing deadlines, online questionnaires, confirming submissions and saving responses to G&I sites)
  • Supporting the team to manage queries from bid teams and managing any escalations
  • Supporting the FMT and Account Coordinators to deliver timely and accurate updating of all new business opportunities on account trackers or TMP Apps
  • Leaning in to support FMT colleagues across the FMT mailboxes and TMP Apps during periods of increased volumes, holidays and absence

Data, Reporting and Compliance

  • Working with and supporting the FMT Operations Manager to manage:
    • Responsibility for the weekly and month end reporting processes and for collating Management Information (MI) data used for compliance reporting
    • Supporting FMT resources in GDS to ensure they deliver their activities required for framework and DPS reporting and compliance
    • Having a full understanding of the GPS framework and DPS reporting, compliance and audit processes (both internal and external)
    • Developing monthly and quarterly MI and insights into key themes in reporting
    • Providing compliance related reporting and MI and insights to the business
    • Promote best practice for compliance across all Service Lines in UK&I, ensuring compliance, processes, tools and reporting methods are understood
  • Supporting annual internal audit of GPS frameworks and DPSs by ensuring the audit team has access to all in scope data and relevant documents / engagement letters and responding to any queries raised by the audit team
  • Supporting queries and requests from CCS for information (including for external audits) and managing queries and requests from other framework / DPS authorities
  • Supporting the payment of management charges and invoices from CCS and other framework / DPS authorities
  • Developing PowerBI dashboards to capture insights and proactively identifying and managing key issues and trends
  • Reviewing opportunity trackers and framework and DPS reporting to produce insights for Markets and Sector teams
  • Utilising data from external sources to produce insights for Sector Teams

Knowledge Management

  • Proactively building and maintaining a thorough understanding of the end-to-end tender management processes to enable the FMT to provide first-class support to the business (including understanding the automated Bot solution, the TMP Apps, EY’s Government security instructions and EY technology solutions such as EYDelivers)
  • Supporting and developing the team to provide professional and timely management of queries via email, TMP Apps, Teams and calls received in respect of procurement activities including from external clients, bid teams and account teams
  • Provide expertise and timely management of queries via email, Teams and calls regarding using UK Government frameworks and DPSs and reporting and compliance processes
  • Developing, maintaining and updating process guides and frequently asked questions to ensure queries raised by the business can be handled quickly and efficiently
  • Developing, maintaining and updating process guides for framework and DPS reporting, compliance and audits to ensure the FMT supports these critical activities
  • Maintaining excellent knowledge of frameworks and DPSs and developing the knowledge and expertise within the team to enable first class support to stakeholders
  • Developing and updating SharePoint pages for UK GPS frameworks and DPSs to assist Sector teams using these critical bidding routes for new business opportunities

Process Improvement

  • Provide a solid contribution into the continued success of the FMT by using initiative to identify and deliver process improvement projects, including identifying further opportunities for automation and offshoring across the FMT
  • Play an active role in facilitating positive change within the team to improve services offered to the business including managing and delivering key FMT projects and business transformation projects
  • Contribute to the capturing of insights to proactively identify and manage key issues and trends with an aim to enhancing wider team development
  • Contribute to Markets projects to deliver improved processes and outcomes to the wider Markets team

Relationships

  • Develop open, honest and supportive long-term relationships with FMT colleagues by building trust, investing regular time in coaching and developing the team and demonstrating flexibility of style to engage each colleague effectively
  • Own, build and maintain relationships with key stakeholders, including UKI Markets, Focus Account teams, bid teams across Sectors and Service Lines and external clients / procurement teams
  • Working collaboratively and in conjunction with Business Development, Pursuits Teams, Account Managers and Account Coordinators to support new business opportunities for the firm
  • Working collaboratively and in conjunction with FMT resources in GDS to support their knowledge and understanding of UK GPS framework and DPS reporting
  • Joining and contributing to regular calls and meetings to develop relationships

To qualify for the role you must have

  • Strong team working skills with confidence in communicating and the ability to influence people at all levels
  • Ability to manage and resolve complex queries and escalations relating to GPS tender opportunities and compliance
  • Reporting experience to be able to ensure the firm complies with all contractual obligations, including external reporting, payment of management charges and annual self-audit certification
  • Experience of working with large amounts of data (mailbox, tender and framework revenues) and using Microsoft products (Excel, SharePoint and PowerBI) to generate insights and present reports to stakeholder groups to achieve desired outcomes
  • Ability to manage multiple tasks through to completion achieving monthly deadlines
  • Change and project management experience and successfully delivering process improvement projects
  • A “can do” attitude and the drive and enthusiasm to motivate others

Ideally, you’ll also have

  • Knowledge of GPS new business tender processes and procurement portals
  • Knowledge and experience of reporting and compliance activities on GPS frameworks and DPSs
  • Experience of hybrid working (office, remotely, virtually and independently) in a role of responsibility whilst driving team performance
  • Experience in professional services environment
