What the You Will Do
  • Strategically manage executive calendars, planning ahead to support long-term business objectives and ensuring logistical details are in place.

  • Plan and coordinate external-facing meetings, including greeting and directing visitors and collaborating with cross-functional teams and outside vendors.

  • Handle comprehensive travel coordination, including air and ground transportation, hotel reservations, visas, and related documentation.

  • Manage quarterly team travel and expense budgets; process executive expense reports and resolve any accounts payable/receivable issues.

  • Assist with headcount planning and tracking.

  • Organize team all-hands meetings, internal events, offsites, and oversee all logistical and budgetary components.

  • Attend key meetings and follow up on outstanding action items.

  • Serve as the team’s go-to expert for general requests and information; maintain all team resources.

  • Support managers in fostering team culture and morale; act as the barometer for team well-being.

  • Partner with Facilities, IT, and Security teams to resolve logistical issues and ensure smooth operations.

  • Support the full recruiting lifecycle, including interview scheduling and onboarding coordination for senior hires.

Basic Qualifications
  • 5+ years of professional experience, including 2+ years supporting VP- or C-level executives (or Director-level in a global organization).

  • Fluency in English and Mandarin.

  • Proactive, solution-oriented mindset with the ability to work independently.

  • Strong organizational skills with exceptional attention to detail.

  • Demonstrated ability to manage shifting priorities and maintain sound judgment under pressure.

  • High level of discretion and professionalism when handling confidential information.

  • Experience in budget management.

  • Flexibility to adapt to various leadership styles and team dynamics.

  • Experience supporting large, fast-paced teams in a global, matrixed environment.

  • Expertise in Google Workspace (Calendar, Docs, Sheets, Slides).

  • Proficiency with Zoom and video conferencing tools, including scheduling and troubleshooting.
