The successful candidate will be self-motivated, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times. This is a demanding and fast moving position that requires someone who is able to exercise good judgment and significant initiative. This role is based in Los Angeles, CA.
Responsibilities include, but are not limited to:
Proactively maintaining the calendar for multiple executives in Finance, including scheduling, rescheduling and confirming meetings multiple weeks to months in advance
Scheduling both internal and external meetings
Creating and proactively maintaining meeting agendas
Maintaining a log used to track projects, their status and proactively keeping leadership team informed
Taking notes in meetings and circulating appropriate information to the greater team
Coordinating detailed and sometimes challenging travel arrangements (domestic and international), maintaining passports, visas, global entry, as well as keeping VP aware of travel restrictions and proactively scheduling/completing any/all applicable appointments/paperwork prior to and during travel
Detailed and proactive expense reporting
Maintaining internal and external cross functional partnerships along with heavy communication internally and externally
Proactively creating and maintaining presentations and documents using powerpoint and Google Slides
Ability to single handedly plan and execute multi-day, multi-person offsites and events
The want and ability to provide in depth assistance with VP and team projects as needed
Flexibility to work in a fluid environment, providing additional support within finance admin community/team
Qualifications:
BA/BS Degree and/or experience commiserate with 8+ Years as an executive assistant
Team-player who operates in an extremely fast paced, ever changing environment as well as a team-oriented setting
Ability to be discrete and maintain confidential information
Understanding of how to prioritize and respond accordingly - sometimes without the direction of the executives themselves
The ability to understand what’s best for the business and make decisions accordingly
The ability to “see the future”, flag and act accordingly
Strong written and verbal communication skills and the ability to multitask
Strong proficiency in Google Suite (sheets) and Slack
Our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top-of-market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $60,000- $240,000.
