Our Document Publisher/Coordinators work on a document from conception to production and delivery and track and manage multiple concurring deliverables.
This is a non-exempt, hourly paid position.
Here's what you'll need
- The ideal candidate must either possess or be capable of obtaining Federal Tier 1 Controlled Unclassified Information (CUI) clearance. This role involves handling sensitive information and requires strict adherence to federal security protocols.
- Must be a US Citizen
- Experience ushering a document through its development phases from startup to client submittal. You’ve worked directly with authors and project team leads and have engaged other editors, publishers, and designers as needed to support document development. You’ve helped coordinate and manage a lot of moving pieces to create a finished work that can be thousands of pages and hundreds of megabytes.
- Strong professional communication skills. You’re comfortable communicating verbally and in writing, you ask questions for clarity, and you’re not shy about hunting down answers. You’re adept at communicating with publishing colleagues, team leaders, contributing authors, and project managers alike.
- Expertise formatting in Microsoft Word (MS), Excel, and PowerPoint according to established company brand or project-specific styles and template requirements
- MS Word: Expert knowledge creating and applying Word templates, manipulating styles, using mail merge, creating and using macros, section breaks, page layout, cross-references, tracked changes, and troubleshooting document formatting issues
- MS Excel: Working knowledge of workbook formatting, formulas, and manipulating graphs and charts
- MS PowerPoint: Basic knowledge of how to apply formatting to an established template
- Expertise in standard publishing programs
- Acrobat: Expert knowledge of creating complex PDFs of reports that include multiple figures, tables, and appendixes for client review. Experience preparing large documents for publication by inserting blanks, rotating pages, etc.
- InDesign, Illustrator, and Photoshop: Basic knowledge is a plus but not required
- Experience with Bluebeam, PDF-Xchange Editor, or other PDF software
- Experience compiling large (5,000+ pages, 300+ MB files) multivolume PDFs using advanced techniques including OCR, optimization, headers/footers
- Understanding of a wide variety of shared workspace platforms (SharePoint, ProjectWise, etc.), document-related software techniques, visual mediums, and delivery options
- Experience working as part of a team and collaborating with editorial, graphic design, document publishing, production, and technical staff
- Demonstrated time management skills, to include completing work on time, communicating your current workload and upcoming availability, scheduling your participation on long-term projects, and efficiently offloading work to your colleagues if you’re overbooked
- A commitment to providing the best quality work you can in the time provided for the work, to include engaging in quality reviews both as a doer and as a reviewer and implementing feedback
- Flexibility to work occasional evenings or weekends when our success depends on you
Ideally, you’ll also have:
- Bachelor's degree; relevant job experience may be accepted in lieu of degree
- Understanding of grammatical rules, punctuation, and references and citations.
- Experience with best practices for document accessibility (Section 508, AODA, WCAG, PDF/UA)
- Experience in an engineering consulting environment
- Experience with environmental/CERCLA documentation
- Familiarity with FOIA Exemptions and Federal Administrative Record requirements.
