Role Responsibilities

  • Maintain an accurate inventory of software licenses, including license types, renewal dates, and usage metrics.
  • Monitor software usage and compliance with vendor agreements to proactively identify potential issues or cost savings opportunities.
  • Work closely with Procurement to negotiate favorable licensing terms and ensure compliance with license agreements.
  • Provide guidance and support to internal departments on software license procurement, usage, and compliance.
  • Develop and maintain documentation and reports on software license management activities for audit and reporting purposes.
  • Stay current on software licensing trends, and best practices to ensure compliance and optimize licensing strategies.
  • Assist the Asset Management Manager in the development and implementation of asset management policies, procedures, and standards to support effective software license management.
  • Develop reports and dashboards to track software license usage and compliance.
  • Ability to adapt to changing customer needs and preferences, such as recommending new products or services that meet evolving requirements.

Requirements

  • Experience with Microsoft Excel, Google Sheets, and other data analysis tools.
  • 2 years of experience in software asset management, software licensing, or related field.
  • Knowledge of software licensing models, agreements, and compliance requirements.
  • Experience with software license management tools and systems.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.

As a Technical BSA/ Product Owner, you will define the vision and future of our Salesforce environment. TechOps sits at the intersection of every business unit and delivers mission critical services and information to Stakeholders across the entire company.

This role can be based out of our Gurgaon office or remotely in the India region.

CRM & Salesforce Expertise
  • Be a CRM subject matter expert, specializing in Salesforce, including Sales Cloud, Sales Forecasting, Sales Processes, Partner Sales Processes, and Deal Management
  • Hands-on experience with Salesforce configuration, including security, automation, approval processes, flow, custom objects, reports etc
Business & Technical Analysis
  • Deeply understand user journeys for different types of users
  • Ability to analyze solutions and estimate effort/lift required for implementation
  • Identify project complexity and engage the right stakeholders for well-rounded implementation
  • Independently identify areas of improvement and advocate for changes
  • Work closely with Sales, SalesOps, Partner Sales, Finance teams and Other Internal teams to understand business goals and define system solutions
  • Translate business requirements into system functionality, including creating Business Requirement Documents (BRDs) and Functional Requirement Documents (FRDs)
  • Collaborate with the CRM team to refine user stories, acceptance criteria, and effort estimation
Strategic & Cross-Functional Collaboration
  • Bridge business needs with system capabilities to contribute to the technical roadmap and proactively address delivery needs
  • Design and orchestrate end-to-end solutions, ensuring seamless integrations across best-of-breed applications
  • Collaborate with technical teams to develop integration and migration requirements, and custom functionality as needed
  • Support User Acceptance Testing (UAT), demos, and user training for CRM systems
Process Optimization & Agile Mindset
  • Continuously seek opportunities to optimize Salesforce for improved processes and productivity
  • Effectively prioritize tasks, make trade-offs, and adjust priorities based on evolving business needs
  • Experienced in working in Agile/Scrum environments
  • Guide stakeholders and developers in making the right product decisions to create a stable, scalable, and growth-oriented Salesforce platform that serves diverse departmental needs
  • Gather and evaluate business requirements from various stakeholders and collaborate with Business Systems Analysts to ensure successful project delivery
  • Effectively communicate complex technical concepts in a simple and clear manner to diverse audiences, including engineers and executives
  • Facilitate cross-functional communication with internal teams to ensure roadmaps and deliverables are aligned
  • Develop and maintain the Salesforce roadmap, ensuring it aligns with business goals and scalability needs
  • Establish strong partnerships with stakeholders to understand their evolving needs and drive impactful solutions
  • Maintain and update a well-organized and prioritized backlog, ensuring continuous system enhancements and feature development
Success Measures
  • In 3 months you’ll have fully ramped within your teams, and created a short term roadmap and drive to completion
  • In 6 months you’ll have taken complete ownership of the product and generated a long term road map
  • In 12 months you’ll have delivered multiple projects and defined the future of Salesforce at MongoDB

Description:

As a Business Systems Analyst, you will join a cross-functional team of support associates, system administrators, product managers, HRIS engineers, and HR professionals. You will be involved in and take a lead role in projects that are critical to the success of the business.

As the HR Tech Business Systems Analyst, you will play a pivotal role in driving the strategic direction and development of our human resources systems and tools with a focus on the Employee Central, Onboarding, Performance, and Compensation modules. You will be responsible for overseeing SuccessFactors enhancements and projects from conceptualization to launch, and beyond. Your focus will be on delivering innovative solutions for the hire to retire process to enhance the efficiency, effectiveness, and user experience of our HR systems, ultimately supporting the company's overall mission and People Team goals.

Shift timings: (6 PM - 2 AM IST)

Responsibilities
  • Design, create and support solutions to drive business processes in Successfactors that are secure and scalable.
  • Stakeholder Management: Strong interpersonal and communication skills to effectively build relationships with the MongoDB People team, influence/drive decision-making, and become a trusted advisor.
  • Facilitate workshops with stakeholders to drive out requirements
  • Take full ownership of project/enhancement delivery (if applicable supported by a Business Analyst and/or project manager).
  • Continuous Improvement: Continuously monitor industry trends, user feedback, conduct retros, and internal processes to identify areas for improvement and drive ongoing enhancements to HR systems.
  • Investigating production issues and support operational BAU activity
  • QA Testing (Peer, Functional)
  • Create process flow diagrams and Solution Design
  • Ability to work independently with limited supervision, whilst participating fully as a member of the team
Requirements
  • Bachelor's degree in Computer Science, Information Technology, Business Administration, or a related field.
  • Advanced knowledge in the SuccessFactors Employee Central module and ‘hire to retire’ process including core HR, Time Off, Integration Center, Workflows, Reporting, Security (RBP), global/local templates, Document Generation, MDF objects, Position Management, and Onboarding.
  • Prior experience working in HR Operations, Business Analysis, or Business Systems teams in a Tech company is preferred.
  • Deep understanding of HR business processes, and systems, with expertise in areas such as HRIS, Onboarding, talent management, integrations, and reporting.
  • Prior experience with productivity and process mapping tools preferred, for example: MS Office, Google Suite, Visio/Lucid Chart, etc.
  • Experience working with large data volumes and facilitating this in solution design is preferred but not required.
  • Strong analytical and problem-solving skills, with the ability to translate complex business requirements into actionable product features and technical specifications.
  • Identifying risks and issues to the team to fix them in a timely manner
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with diverse stakeholders and influence decision-making at all levels of the organization.
  • Proven ability to thrive in a fast-paced, dynamic environment, with a proactive and results-driven mindset.
  • Familiarity with agile development methodologies, software development lifecycle (SDLC), and project management best practices.
Success Measures
  • In 3 months you’ll have fully ramped up on TechOps HR Tech processes, familiarized with our HR Tech stack, identified process improvements, gained a deep understanding of HRIS products, and built relationships with key partners and stakeholders
  • In 5 months you’ll have taken complete ownership of executing and driving projects and enhancements for Successfactors modules and supporting your delivery teams and business stakeholders. Collaborate with stakeholders to outline enhancements based on customer needs. Build strong relationships with our People team and process owners. Additionally, you will work with engineering teams to develop prototypes and MVP’s aligned with a prioritized roadmap.
  • In 12 months you will independently oversee the launch of new features and enhancements, coordinating with cross-functional teams to ensure effective rollout and customer communication. Monitor user adoption of new features and gather feedback from customers to iterate on the product and prioritize future enhancements. Establish key performance indicators (KPIs) and metrics to track the success of the HRIS product, such as user engagement, retention, and customer satisfaction.
