Qualifications

Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

or Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.Certain roles may be eligible for benefits and other compensation. Responsibilities
  • Proactively managingcomplexChiefs of Staffcalendarswith utmost attention to accuracy,timelinessand execution.
  • With guidance, makingtime management decisions on behalf of the Chief of Staffsto ensure meeting requests meet with time management priorities,performanceobjectivesand the needs of the business.
  • Organizingkey information and resourcesfor the OCEO in OneNote, SharePoint, etc.andmaintainingdistribution lists so that they are always up to date.
  • Actingasarepresentative for the Chief of Staffsto a wide spectrum of MS employees, as well as executives and employees from outside organizations.
  • ArranginginternationalVisa processingin a timely manner
  • Reconciling and submittingexpense reports for the Chief of Staffsas well as assisting in some cases with other OCEO member expense reports, as appropriate.
  • Planning and supportingteammeetings,offsites and/ormoraleevents.
  • EnsuringNew hire set ups are all-inclusive to create an unsurpassed experience for new OCEO employees.(Employee Central/iCIMS functions,Office setup including computer equipment,officespaceallocation, aliases, etc.
  • Procurement of goods and services, office supplies and reference materials for the team, opening purchase orders and processing invoices
  • Ability to prioritize and juggle multiple projects at once, including solid project-management and problem-solving skills, while following through on issuesin a timely manner
  • Organizational,analyticaland written communication skills
  • Able to work effectively under pressure withinshort timeconstraints, and inrelatively ambiguousand complex situations
  • Partnering and cross-collaborating withindividuals andteamsinmany parts of the broader company, employees, and external organizations.
  • Managingopenheadcount
  • Reviewing operating budget and spending,identifyingnear-overagesand relaying findings to chiefs of staff.
