What You’ll Be Doing:
Administrative Support:
Manage office supplies and inventory.
Coordinate and schedule meetings, appointments, and travel arrangements.
Prepare and distribute correspondence, memos, and reports.
Maintain and update company databases and records.
Assist with the preparation of presentations and other documents.
Office Management:
Ensure the office is clean, organized, and well-maintained.
Handle incoming and outgoing mail and packages.
Greet and assist visitors, clients, and employees.
Manage office equipment and coordinate repairs and maintenance as needed.
Shipping and Receiving:
Oversee the receipt, inspection, and storage of incoming shipments.
Prepare and process outgoing shipments, including packaging and labeling.
Maintain accurate records of all shipping and receiving activities.
Coordinate with carriers and vendors to ensure timely delivery and resolve any issues.
Monitor inventory levels and reorder supplies as necessary.
Customer Service:
Respond to inquiries and provide information to clients and customers.
Handle customer complaints and issues in a professional and timely manner.
Collaborate with other departments to ensure customer satisfaction.
Financial Responsibilities:
Manage invoicing processes efficiently.
Collaborate closely with the JEC finance team to handle ITS accounts payable (AP) and accounts receivable (AR) details and costs.
Monitor and follow up on regular payments, including utilities (water, rent, gas) and other services.
What We’re Looking For:
High school diploma or equivalent; associate's or bachelor's degree preferred.
Proven experience in office administration, shipping, and receiving.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team.
Attention to detail and problem-solving skills.
Proficient in English (both spoken and written).
Work Environment (including Physical Demands):
Work indoors. Environment can be noisy and dealing with different temperatures (e.g., extreme heat).
Ability to lift a maximum of 30 lbs.
Work shifts may include days, afternoons, nights, or continental.
Ability to stand and walk for long periods at a time.
Able to work overtime when required/requested.
