• Develop a document control and management system for projects and programs executed by Jacobs Philippines and other Jacobs offices for maintenance and distribution of project documents.
• Drive improvement in client satisfaction and deliver projects to the satisfaction of both the client and Jacobs.
• Works with the Project Managers and Project Controls Managers to develop work processes, procedures and implement an electronic data management system to facilitate project communications.

Key Service Accountabilities:

• Set the strategic direction and meet the business objectives of the performance centre.
• Align the operational group with Jacobs’s expectations with regard to culture, systems, processes and KPIs. Drive improvement in client satisfaction and deliver projects to the satisfaction of both the client and Jacobs.

Other Services Accountabilities:

• Develop a document control management system for projects and programs executed by Jacobs Philippines that maintains and distributes project documents. Supports the development and implementation of document control policies and procedures. Works with the Project Managers and Project Controls Managers to develop and implement an electronic data management system to facilitate project communications. Supports the development of workflow processes. Participates with other members of the Project Controls staff to develop a Program Work Breakdown Structure (WBS).
• Develops a standard Program indexing and filing system for project documents. Maintains electronic files for all project documents. Files and stores hard copies of documents in accordance with Program policies and procedures. Implements a document storage system with user friendly search capabilities. Per directions from the Project Manager or Design Manager, distributes design submittals for reviews. Supports the Jacobs or our clients with the assembly and distribution of tender documents, clarifications, and addenda. Tracks required responses to designer and contractor submittals, shop drawings, and requests for information. Advises project managers with responses are overdue.
• Implements updates to document management software and provides training support as necessary. Conducts periodic audits of project files to monitor compliance with project requirements. Completes check list reviews of project and contract close out documentation. Supports projects with reproduction services. As required, supports the project with messenger and courier services. Provides miscellaneous senior administrative support to the project teams.
