Responsibilities:

• Identify current and future customer technical requirements by establishing personal rapport with potential and actual customers and other persons in a position to understand product requirements
• Provides product or equipment technical and engineering information by answering questions and requests
• Prepares solution design by understanding customer requirements and related customer documents, and consulting with engineers, architects, and other professional and technical personnel
• Develops customer's staff by providing technical information and training. Building and maintaining strong and close relations with customers by performing weekly / monthly calls and follow-ups

• Graduate of Engineering and/or IT courses
• 2+ years of experience in a client-facing, pre-sales, solutions consulting, or related technical sales role
• Fluency in written and conversational business German and English
• Fluency in written and conversational business Polish and/or French is a plus
• Knowledge in Hardware products and Solutions
• Good knowledge of Operating Systems (windows and Linux) and basic networking
• Excellent knowledge of network communications and internet protocols
• Excellent Written and Verbal Presentation and Communication Skills
• Ability to document technical meeting notes clearly and concisely
• Project Management Experience would be beneficial
• Must be Proactive within the region identifying new areas and engaging in existing accounts
• Ability to operate effectively independently (remote working position) but equally as effective when working as part of a team to meet a common goal
• Technical background in telecommunications, mobile devices and/or IT security and networking is a plus

• Strong collaboration and communication skills, leadership, organization, and the ability to work well in teams
• Knowledge of police forensic and investigative practices is beneficial

• Full administrative responsibility for all office needs, including maintenance and appearance
• Coordinate office maintenance and repairs; liaise with building management
• Ensure all office equipment is in good working order
• Maintain and implement office policies and procedures in line with company guidelines and regulations
• Lead and manage office-related projects
• Oversee pantry supplies and ensure restocking as needed
• Ensure appliances (e.g. coffee machines, microwaves, refrigerators) are functioning properly
• Serve as the primary point of contact for the office landlord

Executive & Employee Support

• Provide administrative assistance to the VP Sales, Germany (e.g. booking hotels and flights)
• Track employee absences and coordinate with health and office insurance agencies
• Support and guide employees and managers on office policies and legal compliance
• Address and resolve office-related issues or conflicts to maintain a positive work environment

HR & Employee Experience

• Manage HR documentation, employment records, and benefits for new hires and leavers
• Organize and execute events, social welfare initiatives, and employee experience activities across Germany and the wider EMEA region

IT & Security

• Handle IT-related issues such as server problems and equipment/accessory requests
• Oversee office security systems (e.g. access control, CCTV)
• Manage employee access cards and troubleshoot technical issues

Finance & Compliance

• Manage invoice and expense processes, ensuring accurate and up-to-date financial records
• Ensure compliance with health and safety regulations; conduct safety inspections and implement emergency protocols

Qualifications:

• Minimum of 3 years’ experience as an Administrative or Office Manager in small to medium-sized organizations,
• or 4 years as a Front Desk Manager or Administrative Assistant in a mid-to-large office (required)
• Basic understanding of German employment laws
• Proven experience working with management-level stakeholders and delivering excellent employee service
• Excellent written and verbal communication skills
• Strong time management and organizational abilities
