PayPal’s Real Estate & Facilities (RE&F) team is seeking a team member to work as a Construction Project Administrator that will hold primary responsibility for developing, executing and maintaining contracts and contract data supporting the RE&F team, and in particular, the Design & Construction team. In addition, responsibilities in this role will include project analysis and forming/maintaining project plans, and will provide general support and coordination for managing various construction projects globally including:

  • Work with PayPal Real Estate Legal and Sourcing teams to develop and execute MSA’s, SOW’s, Certificates of Insurance and other contractual documents as required by company policy and consistent with compliance requirements
  • Issue and track all vendor PO’s, Change Orders and Invoices as well as maintaining project Financial and Scheduling data including forecasting and cash flow analysis
  • Assist in the drafting and issuance of Project RFP’s & Biddocuments
  • Work with the Vendor Management team for onboarding and manage suppliers
  • Collaborate with external teams to ensure adherence to proper project documentation standards
  • Keep all Project Files up to date and in line with company compliance requirements
  • Update and maintain various Financial and Project Management Software Programs
  • Ensure all Project Closeout Documentation is received, approved and distributed to internal teams as required by compliancerequirements
  • Interact and assist coordinating project activities with Internal PayPal teams (Facilities, IT, Security, AV, Finance, Legal, Sourcing) & External partners including Architects, Engineers, Contractors, Project Management firms and Furniture vendors
  • Assist in updating and submitting biweekly and/or monthly project status reports

Required Skills:

  • 2-4 years’ experience in contracts administration, records management or other corporate administrative role
  • High level of comfort with using spreadsheet and project management software to manage data and contracts, as well as extracting information for report development
  • Incredibly organized and scrupulous attention to detail, with a natural inclination for standardization and order
  • Great communicator, with a strong willingness to help facilitate understanding and solutions
  • Microsoft Office experience
  • Self-starter and a person who likes to try new ideas, implement plans and generate better processes
  • A great people orientation and a customer service disposition

Preferred Qualifications:

  • Bachelor’s degree in any discipline
  • Experience supporting a Real Estate, Construction or Legal group managing contracts and other critical documents.
  • Experience supporting multiple groups within a team.
  • Microsoft Office experience
