Key Accountabilities:

Procurement Function:

  • Manage non- trade procurement (NTP), including contract terms review and contract implementation following adidas Group NTP policy and SOP.
  • Identifies and negotiates terms for office supplies and service providers (hotels, travel, furniture, etc.).Conduct benchmarks and analysis to identify opportunities, propose options to ensure service providers stay competitive and great service level by applying Procurement guidelines and principles.
  • Strengthen and ensures all contracts are executed compliantly together with annual refreshment to all purchase owners as and when required.
  • Self-update adidas group NTP policy and reflects these changes properly in procurement SOP and operation management.

Fleet Function:

  • Manage day to day fleet services operations, ensure services delivered with reliable, safe and quality to all employees following company transportation policy.
  • Periodically benchmarking of fleet service and service providers to identify opportunities to bring service level to higher level for the company while optimizing cost.
  • Ensures fleet payments are proceeded within contract payment terms.
  • Ensures fleet reports and master car lists are always updated and recorded properly.

Travelling function:

  • Oversee travel and business visa application and process management.
  • Manage service provider performance and contracts for travel services: air ticket supply vendor, immigration services.
  • Liaise and work with Global Travel Team of any travel policy changes to ensure services performs following Global T&E policies
  • Liaise and update adidas group NTP policy and reflects these changes properly in Traveling SOP and daily operation management.

Budget plan:

  • Ensure annually and monthly budget/fund are planned and finalized in a timely manner.
  • Ensure operating funds are utilized in an efficient manner.

Key Interfaces:BU Categories, Commercial, Brand Comms & Planning, Newsroom/PR, DTC, WHS, SPOMA, Culture Marketing, Brand Operations, Corporate Communications, external agencies and vendors.


Key Accountabilities:

  • Support and execute events across the Brand Experience business. This includes GTM, Employee, Consumer, Purpose and Retail.
  • Support creation of event briefs, event overviews, event recaps and workbacks.
  • Support creation and updating of Event PPT’s
  • Maintains and updates Event Calendar.
  • Maintains and updates rooming lists, transportation manifests, BEOs and other hospitality documents.
  • Orders, manages, and organizes promotional product for events.
  • PO creation, maintenance and updating of department budget tracker.
  • Invoice processing.
  • Creation of meeting agendas and recaps as requested.
  • Calendar management and scheduling.
  • Provide timely responses and follow up as needed. Escalate if guidance needs to be provided.
  • Act as event support for miscellaneous team requests.

Knowledge Skills and Abilities:

  • Good project management skills, oral communication, able to deliver clear, concise information tailored to specific (and potentially varied) target audiences.
  • Knowledge of entry level meeting planning skills (hotel contracts, room sets, catering, production, AV, etc)
  • Ability to maintain a professional attitude in fast paced, changing environments.
  • Ability to take direction and flag when clarity and/or assistance is needed.
  • Ability to cope with change and be flexible.
  • Ability to effectively communicate to all levels within the organization.
  • Knowledge of industry-standard software, including the Microsoft Office Suite (Excel, PowerPoint and Word) .
  • Ability to travel by aircraft domestically as needed.

Qualifications:

  • Four-year College or university degree, emphasis in marketing or communications preferred.
  • Minimum 1 year meeting planning or event marketing experience (or related field).
  • Equivalent combination of education and/or experience may be substituted for degree.
