Role description: Time Off coordinator (Associate)

In this role, you will provide efficient and effective processing of HR administration within specific procedural and service guidelines. You will be responsible for the accurate and speedy processing of all leave of absence activity (family leaves, unpaid leave, sickness absence etc) in accordance with agreed key performance indicators, and the coordination of this information for the precise processing of payroll activity.

Your key responsibilities

  • Deliver excellent service in line with leave of absence processes and ensure service level agreements are achieved. Follow work instructions to execute transactions of requests for time-off during employment.
  • Undertake cyclical activity aligned to the annual operational calendar.
  • Self-review that all process steps and payroll actions are fully completed to ensure accurate payroll processing and eradication of errors.
  • Action housekeeping and other related reports, taking appropriate actions identified within the reports.
  • Process administration in relation to employees requesting time-off including: sickness absence, maternity, paternity, shared parental leave and unpaid leave.
  • Resolve queries initiated by the EY Help HR Contact Centre team that require further investigation. Ensure satisfactory closure of issues that develop into cases, and ensure any learning is taken on board.
  • Maintain an up to date knowledge of current EY policy and process developments.
  • Ensure compliance with the Firm’s policies, best HR practice and employment legislation at all times.
  • Regularly support the continuous improvement initiative.

To qualify for the role you must have:

  • An ability to work to and enhance prescribed HR procedures
  • Attention to detail and a focus on accuracy and quality

Ideally, you’ll also have:

  • Knowledge of operational HR systems

Your key responsibilities

  • Provide a clear explanation of HR policy to employees and counselling managers on a wide range of subjects
  • Make decisions and apply commercial judgement in dealing with HR policy issues e.g. parental leave, flexible working etc.
  • Appropriately guide employees and line management to help them navigate through the various People/HR intranet pages
  • Record details of incoming calls, emails and chats in a timely and accurate manner, tracking through to closure/client resolution, using ServiceNow
  • Escalate queries requiring ongoing case support as appropriate to the EY Help HR Counsellor Advice Team or to the EY Help HR Team Leader, as appropriate
  • Ensure own comprehensive knowledge of the HR Intranet and share best practice with stakeholders
  • Contribute to UK TSS and wider HR team by identifying trends or repeated queries or issues arising from HR policy or procedure
  • Build and maintain recognised levels of ‘excellent’ customer service
