Provide administrative assistance, managing executives' calendars, including scheduling meetings and appointments.
Receive guests and prepare for meetings by organizing refreshments, including making coffee and ordering lunch or snacks for participants.
Travel Support:
Coordinate work-related and personal travel arrangements, including transportation, hotel bookings, and attraction bookings.
Open a Travel Authorization System (TAS) for each trip to ensure proper documentation and approval.
Schedule meetings and manage all logistical needs to ensure efficient travel experiences.
Support executives with their requirements during business and personal trips.
Communication and Liaison:
Serve as the primary point of contact for internal and external communications on behalf of senior managers.
Handle confidential information with discretion and professionalism.
Foster positive relationships with executives, team members, and external partners.
Personal Life Management:
Assist executives in managing their personal lives by tracking all aspects such as vehicle maintenance, medical appointments, and family communication.
Organize important dates like birthdays and anniversaries to ensure timely acknowledgments.
Streamline all facets of the executive’s personal life to help them save time and reduce stress
Supplier Management:
Open purchase orders for suppliers promptly as needed for services like organizational consulting.
Manage payments to suppliers to ensure timely and accurate processing.
Oversee relationships with various suppliers to maintain ongoing operational efficiency and support.
Team Collaboration:
Work harmoniously with team members by fostering a supportive and positive work environment. Each team member should look out for one another and ensure effective communication and backup at all times.
Provide notice in advance if leaving early.
Maintain awareness of the executive's responsibilities and ensure updates are made according to established procedures
Requirements:
Previous experience as a Personal Assistant or in a similar administrative role, supporting senior executives
High-level English – spoken, written, and reading
Strong ability to distinguish between what's essential and what's not, with a system-wide understanding and context awareness
Genuine desire to support and help – being a key figure who provides peace of mind to executives
High level of discretion, judgment, and reliability in handling sensitive information
Excellent organizational and time management skills, including task prioritization under pressure
Outstanding interpersonal skills, service-oriented, and clear communicator
Team player mentality – cooperative, communicative, and reliable
Full proficiency in Microsoft Office tools and calendar/email systems
