The Talent and Development Analyst will be part of the Talent & Learning Professional Services group, and will reportJapan Talent Management HeadTLPS supports the program management of regional and country: (1) talent and professional skills programs, (2) talent and performance management processes, (3) diversity and inclusion programs/initiatives sponsored by T&L.

KeyResponsibilities

The Talent and Development Analyst/Program Coordinator is responsible for the execution of program logistics. He/she oversees and coordinates multiple training programs or initiatives based on the requirements that TLPS Relationship Managers will provide. Tasks will vary depending which process group the analyst will be handling.

Below tasks should be done in Japanese and English

ProgramExecution:

  • Respond to participants’ and partners’ inquiries related to: program details, pre-work, travel documents (including introduction and visa letter), post-program support

  • Manage coordination of training venues or platforms (classroom and virtual), equipment, catering, travel arrangements, and identifying and booking faculty (internal/external), other logistics andcommunications

  • Manage the learning event and vendor relationship, tending to the practical aspects of space, contracts, schedule, technology, and materials

  • Supports the training nomination/registration process and tracking registrationtrends

  • Deliver and manage regulatory related training

  • Create virtual / set-up training classrooms, performs checks, and support pre-program set-up

  • Prepares communication emails and/or calendar invites and sends it to theparticipants

  • Updates and monitors programrosters

Technology andPlatforms

  • Creates LMS activities and updates it in the SharePointcalendar

  • Uploads online training content in Brainshark, Degreed, orLMS

  • Acts as the SME for technology platforms and assists other team members for troubleshooting – LMS, Zoom, Adobe Connect, SharePoint, Slido

  • Build and maintain strong relationship with product managers supporting technology platforms – T&L Shared Services, Digital Learning Team

  • Collate program evaluation data and carry out first level analysis; create training dashboards to inform and support stakeholders’ decision making and guide learner activity

  • Creates and maintain TLPS-owned SharePoint and CollaborateSites

  • Partner closely with Global Events Management Team for execution of large scale

Expense

  • Create purchase order numbers for confirmedengagements

  • Process the payment for invoices and monitors thepayout

  • Coordinate with vendors regarding the payment status ofinvoices

  • Respond to payment queries from the vendor andpartners

  • Responsible for expense accruals and maintaining the expensetracker

Vendor

  • Facilitate vendor onboarding – contract and system (includes vendoractivation)

  • Review vendor contracts / scope of work / workorder

  • Responsible for vendor profile maintenance (e.g.updates)

  • Support the Business Management Lead during contract renewal

  • Prepare and review billing entries for intercompanycharging

  • Coordinates with internal Citi partners in clearing thebilling

  • Respond to queries related to the billingprocess

  • Responsible for risk management, and compliance and controls withinT&L

  • Support the Business Management Lead in preparing/revising thebudget

  • Represent T&L in Citi-wide PH initiatives andmeetings

  • Ensure continuity of business plans are in

Reporting &Metrics

  • Responsible for creating standardized reports, metrics, and dashboards related to Talent & Learning processes and initiatives (e.g. talent and diversity landscape, performance managementcompletions)

  • Provides first level analysis for dashboards and metrics, and suggests data trends toRMs

Knowledge, Skills, andAbilities

  • Strong language capability both in Japanese and English is a must

  • Flexibility and experience in managing multiple, high priority tasks and adjust to shifting priorities, while meeting deadlines.

  • Ability to work independently and interact with all levels of management in a professional and positivemanner

  • Strong analytical, project management and process managementskills

  • Able to multi-task, resourceful and work underpressure

  • Excellent written and verbal communicationskills

  • Strong attention to detail, follow-up and organizationalskills

  • Learning Management System experience aplus

  • Collaboration and e-learning tools experience aplus

  • Proficient in MSOffice
