Under the direction of two senior executives, the Administrative Assistant will maximize effectiveness and efficiency by providing general administrative assistance and support

What You’ll Do:

  • Administration:

    • Perform general administrative activities including screening calls as the first point of contact, direct inquiries and determine proper course of action, correspond with external songwriters, clients, and business partners, , etc.

    • Documentation: File and route internal documents, as required; oversee and supervise contract signings, notarizations, and related matters

    • Contract drafting: write and edit template agreements

    • Research: Conduct various research projects, as required

    • Work with V+MR team on Pitch audio ingestion, playlists, marketing e-mails and social media posts

    • Build a strong and cohesive partnership with other Admins and EAs, both domestically and internationally in NY, LA, Miami, Nashville, and the UK

    • Proactively anticipate needs of direct supervisors and regularly meet with direct supervisors in order to proactively engage on support needed

    • Make recommendations related to scheduling, communication, travel and processes

  • Calendar and Scheduling:

    • Own and proactively manage an ever-changing calendar of internal and external meetings with attention to accuracy, detail (including time zones) and allocation of time and resources to promote productivity and successful execution of the senior executives

    • Proactively reprioritize, as appropriate, if business initiatives change and make recommendations as needed

    • Display a strong sense of urgency and high level of responsiveness as you manage calls from publishers, songwriters, business partners and other clients

    • Schedule meetings and conference rooms, and create meeting agendas as needed

    • Update and maintain contacts

    • Finger on the pulse of trendy restaurants in order to book restaurant reservations, private meetings, events and more.

  • Confidentiality and Discretion: Handle all information with the utmost discretion, integrity and confidentiality including documents, meetings, travel, phone calls, emails, etc.

  • Travel: work closely with a travel agent to provide a seamless travel experience for complex and detailed travel plans and itineraries, including flights, hotel accommodations, car service and more in accordance with company policy and compile travel documents for expense reimbursement.

  • Expenses: Manage, process and track expense reports in a timely fashion and in accordance with the Sony Music Publishing T&E policy

  • Ad hoc projects as needed

Who You Are:

  • 2 or more years of experience in a position that requires exceptional time management skills; ability to prioritize and multi-task;

  • Strong computer skills including MS Office (Word, Excel & Outlook) and proven internet capabilities. Skilled with Office 365 Task Management Tools.

  • Industry experience preferred, but not required

  • Experience working with important documents or legal agreements, preferred

  • Ability to maintain confidentiality and discretion in all matters

  • Assist in review and analysis of income tax provision reporting for foreign subsidiaries in the Sony Corporation of Americaconsolidatedgroup (including subsidiaries in foreign joint ventures)

  • Prepare, reviewand analyze key international tax compliance issues relating to Federal Forms 5471, 8858, 8865, 1118, 5713, 8990 and 8992. Should have a strong understanding of E&P, Subpart F, GILTI, FTC and Section 861 expense allocation. Prepare and review required elections and disclosures such as check-the-box elections, DCL, GRA etc.

  • Review and supervise preparation of supporting documentation of earnings and profits pool, FTC pool, PTEP and tax basis for all foreign subsidiaries.

  • Research tax issues for planning and compliance purposes and draft memoranda to support and document conclusions and assistin review and analysis of transactions todetermineany tax and reporting impact.

  • Plan and communicate the level of dividends, monitorthe payment of dividends, track andmaintainpreviously tax earnings and profits, compute the impact of foreign exchange gains and losses of remitted and unremitted earnings for US tax accounting and compliance purposes.

  • Assist tax controversy teams with international issues for Federal andstatetax audits.

  • Train, supervise, and guide the team in various compliance procedures, as well as US tax technical analysis. Educate cross-functional colleagues in tax concepts and issues relating to international tax compliance and reporting, to foster strong relationships with business partners and functional area experts of the company.

Your qualifications and experience should include:

Your qualifications and experience should include:

  • College degreepreferred
  • Minimum of 5 years executive level administrative experience, preferable within Human Resources

The target annualized base salary range for this position is $75,000 to $83,000. The individual will be paid hourly and eligible for overtime. This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.

Operations and Administration:

  • Serve as the point person for the songwriter experience in the New York office, offering an extraordinary level of service and support to both the A&R team and songwriters, while at the same time representing the Sony brand with the highest level of professionalism.
  • Build a strong and cohesive partnership with other EAs and Creative Admins, both domestically and internationally in NY, LA, Atlanta, Miami, Nashville, and the UK.
  • Perform general administrative activities including screening calls as the first point of contact, directing inquiries and determining the proper course of action, ordering supplies.
  • Regularly meet with Sr. Director, Creative and A&R staff to provide status updates (weekly charts, event/show calendar, A&R recording timeline).
  • Generate, distribute and maintain various reports as needed by the team including but not limited to Tip Sheets, song holds and sending artist pass letters.
  • Proactively anticipate needs of the A&R staff to foresee problems and prevent them by acting.
  • Make recommendations related to schedules, communications, travel and systems.
  • Create a network of resources including songwriters, producers, managers, booking agents, attorneys, concert promoters, trade and consumer press, and tastemakers.

Calendar and Scheduling:

  • Own and proactively manage an ever-changing calendar of internal and external meetings with attention to accuracy, detail (including time zones) and allocation of time and resources to promote productivity and successful execution of the SVP, Creative A&R.
  • Recognizes the need to proactively reprioritize, as appropriate, if business initiatives change and make recommendations as needed.
  • Displays a strong sense of urgency and high level of responsiveness as you manage calls from publishers, songwriters, and others with A&R question and inquiries.
  • Schedule meetings and conference rooms.
  • Update and maintain contacts.
  • Confidentiality and Discretion - Handle all information with the utmost discretion, integrity and confidentiality including documents, meetings, studio sessions, travel, phone calls, emails, etc.
  • Travel - work closely with a travel agent to provide a seamless travel experience for complex and detailed travel plans and itineraries, including flights, hotel accommodations, car service and more in accordance with company policy and compile travel documents for expense reimbursement.
  • Expenses: Manage, process and track expense reports for the team in a timely fashion and in accordance with the T&E policy.

Events:

  • Finger on the pulse of hip restaurants and venues in order to book restaurant reservations, private meetings, off-sites, celebratory events, industry events and more.
  • Act as host of meetings, develop meeting agendas, etc.
  • Personal: May be required to assist with personal appointments and tasks for SVP, Creative A&R, as needed.

Who You Are:

  • 2 years’ experience in a position that requires exceptional time management skills; ability to prioritize and multi-task.
  • Strong computer skills including MS Office (Word, Excel & Outlook) and proven internet capabilities. Skilled with Office 365 Task Management Tools.

Under the direction of two senior executives, the Administrative Assistant will maximize effectiveness and efficiency by providing general administrative assistance and support

What You’ll Do:

  • Administration:

    • Perform general administrative activities including screening calls as the first point of contact, direct inquiries and determine proper course of action, correspond with external songwriters, clients, and business partners, , etc.

    • Documentation: File and route internal documents, as required; oversee and supervise contract signings, notarizations, and related matters

    • Contract drafting: write and edit template agreements

    • Research: Conduct various research projects, as required

    • Work with V+MR team on Pitch audio ingestion, playlists, marketing e-mails and social media posts

    • Build a strong and cohesive partnership with other Admins and EAs, both domestically and internationally in NY, LA, Miami, Nashville, and the UK

    • Proactively anticipate needs of direct supervisors and regularly meet with direct supervisors in order to proactively engage on support needed
