In this role you will report to both the General Manager Nordics.
General Administration & Management Support:
- Overall administrative support of the commercial business teams in the Nordics out of the Copenhagen officed
- Lead, organize, and manage (commercial) events across the Nordics
- Organize and coordinate internal and external meetings, appointments and travel arrangements
- Responsible for timely processing of invoices, travel expenses and other expenditures
- Manage PO process, including creation, follow up and payment processing for invoices
- Edits and reviews, proofreads and manages documents, spreadsheets and presentations (proficiency with MS Excel and PowerPoint)
- Gather and analyze business data using internal business tools including Salesforce, Insight and Power-BI
- Provide training to new hires regarding administrative policies and procedures
- Coordinate candidate interview in collaboration with Talent Acquisition when applicable
- Distribution and handling of incoming post and deliveries; taking care of outgoing mail and packages
- Perform other small projects and duties as required
Facilities, Equipment & Car Pool Management:
- Organize and maintain equipment, furniture etc. for the team (incl. remote employees across the Nordics)
- Ensure that each employee in the region is equipped with computer(s), phone(s) and other devices as per his/her job role and that the devices are ready for use
- Cooperation with other offices in the EMEA region, including EMEA HQ in Switzerland
- Follow through on maintenance agreements and contracts
- Ensure that meeting rooms are ready for use, i.e. fully equipped, catering when needed
- Coordinate and monitor the company cars in close cooperation with the leasing company
- Ensure proper hand-over and/or return of company cars to/from employees; train new hires on car policies and monitor adherence; control of driver licenses in regular intervals

We are looking for a dynamic and highly organized person.
- Minimum of 3 years related work experience - administrative and supervisory experience
- Fluent English and additional Nordic language will be a plus
- Knowledge of accounting, data and administrative management practices and procedures
- Knowledge of clerical practices and procedures
- Knowledge of business and management principles
- Advanced computer skills and knowledge of office software packages
- Excellent Communication skills
