Job responsibilities:

  • Manage the purchasing of market and office supplies to ensure the office is well-stocked.
  • Handle the receipt of mail, welcome external clients.
  • Manage exchange contracts, and liaise with court officials as needed.
  • Coordinate with facilities to address and resolve any office maintenance issues promptly.
  • Print and prepare books and documents for executives.
  • Organize small events, liaising with pre-registered suppliers to ensure successful execution.
  • Arrange meeting rooms, assisting visitors with Zoom connections and other technical needs.
  • Oversee the duties of the general services assistant, including cleaning and pantry services.
  • Approve access within the bank's internal system, ensuring compliance with security protocols.
  • Manage the entry and exit of contractors, coordinating with building management.

Required qualifications, capabilities, and skills:

  • Proven experience as an receptionist, or in another relevant administrative role.
  • Availability to work from Monday - Friday 8am to 5pm with 1 hour lunch break, in our Rio de Janeiro office location.
  • Solid organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Experience with scheduling software and virtual meeting platforms like Zoom is preferred.
