EMEA PMO Office Coordinator

Job Summary

Project Coordination and Support:

  • Assist project managers in planning, executing, and closing projects with best-in-class templates.
  • Support Coordinate project schedules, resources, and information.
  • Organize and facilitate project meetings, including preparing agendas and minutes.
  • Documentation and Reporting:
  • Maintain project documentation, including plans, schedules, reports, and meeting notes.
  • Prepare and distribute regular project status reports and updates.
  • Ensure all project documentation is properly stored and accessible.
  • Share points are maintained,
  • KPIs are tracked and reported on
  • Has a different PP licence can  that help support the creation of slides and templates

Resource Management:

  • Track project resource allocation and availability with the capacity planner tools.
  • Assist in the coordination of resource assignments and resolve conflicts.
  • Maintain a resource calendar and utilization metrics.
  • Process and Quality Management:
  • Implement and ensure adherence to project management methodologies and standards.
  • Supports and tracks the PMO clinic and helps with the education logistics.
  • Support the development and continuous improvement of project management processes.

Risk and Issue Management:

  • Ensures the PMO team are following a consistent process off Identify, log, and track project risks and issues.
  • Assist in developing mitigation and contingency plans.
  • Monitor and report on the status of risks and issues.
  • Communication and Stakeholder Management:
  • Facilitate effective communication among project stakeholders.
  • Ensure stakeholders are kept informed about project progress, changes, and risks.
  • Manage the project’s communication plan and ensure timely dissemination of information.

Tool and System Administration:

  • Manage and administer project management tools and systems.
  • Provide training and support to project team members on PMO tools and processes.
  • Ensure data integrity and consistency across project management systems.

Financial Management:

  • Assist in tracking project budgets, expenses, and financial forecasts.
  • Prepare financial reports and variance analyses.
  • Support cost management activities and financial reconciliation.

Key Deliverables

Project Plans:

  • templates to ensure comprehensive project plans outlining scope, objectives, deliverables, timelines, and resource requirements.

Status Reports:

  • Regular status reports detailing project progress, key milestones, risks, issues, and budget status.
  • Meeting Agendas and Minutes:
  • Agendas for project meetings and detailed minutes capturing discussions, decisions, and action items.

Risk and Issue Logs:

  • Updated logs of project risks and issues, including status, impact assessments, and mitigation strategies.

Resource Reports:

  • Reports on resource allocation, availability, and utilization.

Financial Reports:

  • Budget tracking reports, expenditure summaries, and financial forecasts.

Process Documentation:

  • Documentation of project management processes, methodologies, and best practices.
  • Continuous feedback projects and surveys,
  • Keeps track off feedback and reports on trends, manages the CI projects rollout.
