Role Overview :
In this role, you will be responsible for managing all aspects of corporate or organizational travel arrangements on an international scale. Your tasks will include planning and coordinating travel logistics for staff, negotiating contracts with travel service providers, and monitoring travel expenses. The ideal candidate will possess excellent organizational skills, meticulous attention to detail, proactiveness, and the ability to multitask effectively.
Key Responsibilities:
Coordinate all travel arrangements for employees, including flights, accommodations, transportation, and visas when necessary.
- Policy Compliance: Ensure compliance with company travel policies, regulations, and procedures. Stay updated on travel advisories, visa requirements, and health and safety guidelines for international travel destinations.
- Maintain accurate records of travel expenses and reconcile travel invoices.
- Travel Assistance: Provide support and assistance to travelers before, during, and after their trips. Handle travel-related inquiries, changes, cancellations, and emergencies in a timely manner.
- Provide support for event planning and logistics, including conferences, meetings, and company retreats.
- Risk Management: Identify and mitigate travel-related risks and issues, such as flight delays, cancellations, and security concerns. Implement contingency plans and emergency protocols as needed.
- Stay up to date on industry trends and best practices in travel management.
Qualifications:
- Proven experience as a travel coordinator, travel agent, or similar role – minimum 2 years in a global/Tech industry – an advantage.
- Strong knowledge of travel booking systems and tools, such as Navan, TAS, Concur, Expedia and such
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Familiarity with travel regulations and compliance standards.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- Previous experience in event planning or operations management is a plus.
