Assist in the investigation of incidents involving loss or near-miss. Communicate with client and project management regarding these matters

Provide active coordination and assistance with all Design Builder and Contractor onsite safety incidents to include notification reporting, follow up meetings and tracking

Review and provide comment on all submitted Design Builder and Contractor site specific safety plans and programs

Assist in the coordination of resources to support project safety training efforts

Assist HCAA in monitoring such measures as employee badging, access control, and perimeter security

Monitor Design Builder’s and Contractor’s maintenance of a database of safety documents and reports for assigned projects

Provides assistance and technical advice to HCAA in an effort to achieve an effective safety program

Track safety performance metrics on a monthly basis and contribute site activities, claims information, and metrics to the client monthly report

Onsite employees are expected to attend a Jacobs Workplace on a full-time basis, as required by the nature of their role.

Job responsibilities

Required qualifications, capabilities, and skills

  • At least five years of administrative experience
  • Advanced ability to organize
  • Discretion and good judgment in confidential situations, and proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Strong proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management

Preferred qualifications, capabilities, and skills

The Senior Executive Assistant provides support to the Head of Reputation Risk and other Managing Directors within the CBNA organization. This role requires management of a highly complex and constantly changing calendar, handling correspondence and appointments, arranging conferences, conference calls/meetings and printing of relevant materials ahead of the scheduled meetings, making travel arrangements, timely filing of expenses and providing other administrative tasks where necessary. The successful candidate will have strong organizational skills, attention to detail, be resilient and resourceful in a fast-paced environment to manage and maintain rapid changes and priorities. The role will also include support for the events that occur within the Tampa site for Risk, as the Head of Reputation Risk is also the Tampa Risk Site lead. Finally, for the first 6 in the role, while we will maintain a hybrid approach, the successful candidate must have the flexibility to come into the office on various days of the week.

Responsibilities:

  • Coordinate and book global travel arrangements including flights, hotels and transportation service to include coordinating on any necessary Visa requirements
  • Submit expenses in a timely manner, reconciling against corporate card statements
  • Manage logistics for global/regional/local visitors
  • Active involvement in preparing the broader Risk team events for the Tampa site
  • Facilitate the onboarding process and infrastructure training for new hires and provide Citi administrative instructions
