WHAT YOU WILL DO
The Executive Secretary will be based in Hong Kong and reports to Managing Director who overseeing Hong Kong and Macau.
Responsibilities:
- Provide professional and efficient administrative support to the Managing Director, primarily including, but not limited to, calendar management and coordination of business trips and conference logistics, including transportation, accommodation, and itineraries.
- Act as the primary point of contact to handle internal and external communications on behalf of the Managing Director through various channels.
- Serve as a key liaison, fostering effective communication and collaboration with both internal parties, including functional directors and regional teams, as well as external vendors and global partners.
- Prepare meeting agendas, take minutes, and proactively follow up on action items. The incumbent may also assist in the creation of presentations and reports as needed.
- Organize and facilitate visits from headquarters leaders and site-level events, including regional leadership team visits, Veeva event submissions, and company and employee engagement events.
- Provide administrative support to the Business Unit for event submissions and input related to Healthcare Professional Sponsorships.
- Perform various administrative tasks as required, ensuring the office environment is organized and equipped with necessary supplies, including fruits, name card printing, license payments, and overseeing facility supplies, maintenance, repairs, and membership renewals.
- Manage the budget and expenses for the Managing Director’s office, company events, and facility operations. This includes using e-platforms for expense and purchase order management, processing invoices, and maintaining accurate records
- Handle sensitive information with discretion and maintain confidentiality at all times.
Your qualifications:
- Bachelor’s degree
- Minimum of 5 years related experience, with exposure to pharmaceutical or healthcare industry being highly preferred
- Excellent command of spoken and written English
- Proficient in Outlook and MS-office applications, such as Word, Excel, PowerPoint, etc.
