Responsibilities

  • Work directly with the GLS Director of Outside Counsel Management and the Senior Vice President of Legal Operations to manage and expand key legal spend controls and governance around Third Party Pay legal spend and related law firm selection.
  • Coordinate directly with Citi business units and Citi lawyers to open and track Third Party Pay legal matters and to ensure compliance with related policies and procedures.
  • Proactively explore and monitor Citi legal data and trends to identify opportunities to develop additional controls and strengthen existing controls including compliance with the established law firm panel structure and requirements around obtaining legal approval prior to engaging outside counsel on new matters.
  • Administrate, advise on, and train others on Citi’s restricted legal commodity standards and related policies governing our legal supplier relationships and Panel structure to ensure they remain current and are aligned with Citi legal, business and compliance globally.
  • Lead the development, implementation and management of a third party paid matter and invoice tracking system.
  • Collaborate with departments beyond legal to authenticate and oversee the utilization of Outside Counsel including pre-engagement due diligence and strategic guidance.
  • Work with Outside Counsel to request and gather spend data on a quarterly basis.
  • Liaise with internal teams and Outside Counsel regarding invoice and matter requests and business instruction and identification.
  • Assist in design and build of the third party paid expense management module, including, but not limited to, workflows, data structure, functionality and reporting needs.
  • Assist in analyzing invoice data to identify quarterly and yearly expenditures and inputting into the spend management system.
  • Coordinate the creation of presentations and other communications materials for Legal organization executive audiences.
  • Plan and coordinate GLS-led controls and administration meetings, materials, and data in all regions and geographies.

Qualifications

  • Bachelors/University degree or equivalent experience
  • At least 7+ years of relevant experience required, preferably working within (i) a mid-to-large global company, with experience in areas including but not limited to accounts payables, supplier management, audit / compliance and/or legal operational process management.
  • Practical knowledge of common legal service descriptions, terms, and life of matter engagements (e.g., course of litigation, basic procedure, corporate or financial transactions).
  • Proven analytical and quantitative skills.
  • Experience conducting payables analysis and research.
  • Strong ability to analyze and organize data.
  • Highly effective project and process management skills.
  • High attention to details, excellent time management and critical thinking skills.
  • High social acumen and the ability to collaborate directly, daily, and effectively across cultures, geographies, and time zones.
  • An ability to lead and influence people across cultures at a senior level using sound judgment, successful execution of strategies, and an understanding of how to operate effectively across diverse businesses.
  • Advanced writing and verbal presentation skills required.
  • Strong organizational and documentation skills required.
  • Exceptional data analysis skills, including advanced proficiency in Microsoft Excel.
  • Exceptional written communication skills, including advanced proficiency in Microsoft PowerPoint and Microsoft Word.
