Essential Duties:

  • Provide both routine & non-routine administrative support to management, work team and department, handling high volume of competing administrative task requests that require appropriateurgency/prioritizationto complete

  • Manage executives’ calendars, including agendas, email, calls, travel arrangements, client management, and other company logistics

  • Coordinate complex meeting scheduling and extensive calendar management, as well as management of content and flow of information to senior executives

  • Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination

  • Process executives’ expense reports and assist with daily executive office team coverage

  • Review and edit departmental documents for grammar, style and formatting

  • Plan, schedule and coordinate departmental on-site meetings and events

  • Represent the Office of the President and department staff to internal and external clients regularly interacting to coordinate business needs.

  • Serve as primary support for other business units, and assisting with projects as assigned

  • May serve as backup to other Executive Admin support team members as needed

  • Manage product orders for internal and external partners, communicating with high profile external partners as needed

  • Organize, review, and reconcile invoices, ensuring that all items are invoiced and paid on time

  • Ensure the accurate filing and tracking of all departmental documentation, including memos, correspondence, presentations and reports

  • Maintain accruals and purchase orders

  • Initiate and continuously improve administrative procedures for department

Minimum Requirements:

  • Minimum of 5 years of relevant work experience in a role directly supporting the President and/or C-suite level executives

  • B.A. degree (or equivalent) preferred; High School diploma with advanced professional experience will be considered in lieu of a degree

  • Strong communication skills, verbal and written

  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business

  • Experience working with senior level executives, locally and globally

  • Requires in-depth knowledge of company operations, policies, and procedures

  • Personable with all levels; flexible and adaptable to last minute change

  • Excellent organizational skills, ability to work proactively, prioritize, and be comfortable working independently

  • Proficient in creating effective presentations within Excel and PowerPoint

  • Intermediate to advanced knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as Sharepoint and/or OneDrive for Office 365)

  • Flexibility to take on a wide range of responsibilities to support the Office of the President, as well as additional assignedmanagement/departmentwith strong ability to establish workflow priority based on assessment of tasks and consideration of interdepartmental needs.

  • Comfort functioning in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision (balanced with willingness to requestclarification/assistancewhen difficulties arise).

  • Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency.

  • Curiosity and proactive learning mindset to support continuous growth both personally and for the business.

The anticipated wage for this non-exempt, hourly position is $36.00 to $49.00 per hour. This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
