Your key responsibilities
This is a new exciting role within the EY UK Company Secretariat, where the individual will:

  • report to a Senior Assistant Company Secretary;
  • support the team in organising, overseeing and managing logistics for Board and committee meetings to ensure that the meetings run smoothly i.e. ensuring that there is a quorum attending, technology has been set up correctly and that papers are available to attendees;
  • assist in preparing and distributing packs and minutes for Board and committee meetings;
  • assist in fulfilling company secretarial compliance obligations for the EY UK subsidiaries;
  • support the team with regulatory compliance matters including the completion of the EY UK ICAEW annual return and monitoring ISQM1 controls;
  • provide document execution support as well as other ad hoc and project-based support as necessary across the Company Secretariat team; and
  • assist in maintaining core Company Secretary data.

Skills and attributes for success

What we look for:

We are seeking an individual who is keen to develop their career, governance knowledge, skills and experience in a regulated business environment. They are likely to have 12 months+ relevant experience, may be interested in studying towards the Chartered Governance Institute (CGi) exams or equivalent and will possess the following skills and experience:

  • Excellent organisational skills, with the ability to deliver solutions and take a holistic view.
  • Strong time management skills and the ability to apply a sense of urgency to tasks in a dynamic environment, prioritising and reprioritising tasks as needed.
  • Collaborative and team-orientated.
  • Strong administration skills, with a proactive approach to forward planning.
  • Meeting support experience, having attended and/or managed Committee meetings (or equivalent) in a sophisticated business environment.
  • Good written communication skills, including the ability to draft minutes with excellent attention to detail and produced to tight deadlines.
  • Strong interpersonal skills, with an ability to interact with senior stakeholders.
  • Some knowledge of company secretarial practice.
  • Experience of handling confidential information appropriately.
  • Ideally, some experience with a board portal system such as Diligent.
  • Advanced computer skills, including Microsoft packages.
  • A self-starter who actively looks to build relationships based on trust and confidence.
