About the Role:
We have an opportunity for a highly organised and diligent individual for the role of Executive Assistant to the Senior Vice President and General Manager for Europe at Jacobs. You will have a proven track record of supporting at SVP/MD level in a fast-paced reactive environment. This is a maternity cover position for a duration of approximately 12 months beginning in January, you will need to be based within commuting distance of our offices in London Bridge SE1 and able to work in the office 3 days per week.
Key Responsibilities:
- Executive Support: Provide high-level administrative support to the SVP, taking ownership and accountability for the SVP’s diary, including organising a complex calendar and schedule, resolving scheduling conflicts in a timely manner, and scheduling high level meetings and calls internally and externally. Ensuring the SVP is well prepared for meetings and arranging briefing notes/calls in advance.
- Travel Arrangements: Coordinate travel arrangements including flights, visas, and accommodation. Prepare and keep on top of expense reports. Ensure the SVP has everything they need prior to travel including travel itinerary/notes.
- Meeting Coordination: Organise and prepare for upcoming drumbeat weekly, monthly and annual leadership meetings including event planning, arranging room bookings, ordering refreshments/catering, taking minutes, and following up on action items. This will also include travel to leadership meetings and events as and when needed.
- Communication: Represent the company and the SVP in a positive light through great follow-through skills and sound judgement, internally and externally.
- Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Stakeholder Liaison: Act as a point of contact between the Senior Vice President and internal/external stakeholders, fostering strong professional relationships.
Qualifications:
Experience: Considerable experience as an Executive Assistant, preferably supporting at SVP, CEO or Managing Director level in a large organisation.
Skills:
- Exemplary skills in organisation, communication, planning, and attention to detail to ensure nothing falls through the cracks.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and handle multiple tasks simultaneously.
- High level of professionalism and attention to detail.
- Adaptability / flexibility.
