RESPONSIBILITIES
- Work closely with a Managing Director, providing the full suite of administrative support for all ECM roadshow marketing and execution
- Coordinate investor meetings, conference calls and events
- Arrange roadshow logistics including, hotels, ground transportation, air travel and catering
- The role will require ownership of updating database systems (iPreo/iPlanner) with all deal related meetings and assist with event reporting
- Assist with tracking meetings and projects in internal systems
- Ability to work through high volume logistics, calendar invites, zoom webinars, and manage other various requests for roadshow virtual and in-person meetings
- Prepare marketing materials
- Coordinate with corporate management teams as needed and work across Sales & Trading, Research, Banking and Capital Markets
- Multi-task within a high demand and dynamic environment while focusing on details
- Manage heavy data entry and excel management
- Assist with ad hoc projects, special events and requests as required
QUALIFICATIONS
- Bachelor’s degree and 3-5 years of administrative support or related positions in the financial services industry
- Proficiency in Microsoft Suite (Outlook, Excel, Word and PowerPoint), Zoom and MS Teams
- Knowledge of iPreo/iPlanner is a plus (or similar planning platforms)
- Motivated, proactive and creative problem solver
- Excellent communication and written skills
- Strong attention to detail, coordination, and multi-tasking capability
- Enthusiastic and strong team player with a calm approach and willingness to pivot across multiple projects and teams, adaptable with a can-do attitude
- Ability to work independently on projects and requests
- Flexibility with work hours – willingness and ability to work extended hours when necessary
The Event Planning Coordinator assists with the coordination and execution of special events, meetings and programs. Operates across departmental lines for specific corporate, retail and departmental projects as assigned, which includes participating in cross-training to develop growing expertise.
Depth & Scope:
- Supports department through specific project fulfillment and assignments
- Completes projects as needed, to meet deadlines as part of group activity
- Receives cross training in all genre of events management: Corporate, Retail and Conference Center
- Coordinates and maintains event supply inventories, including event-specific items
- Communicates with local markets on various event elements
- Creates and processes event orders with vendors and perform necessary follow-up
- Prepares event materials and supplies for transport
Education & Experience:
- Undergraduate Degree or Community College Diploma
- 1+ years' related experience
