Responsibilities:
Maintain premises, coordinate Office Activities: Ensure efficiency and compliance with company policies.
Have a knowledge on Environment, Health & Safety,
Dealing with contracts, project reporting, some public relations skills and event organization skills.
Translations of local administrative documents to facilitate collaboration/approval/clearance process between office and headquarter.
Attend meetings to participate in topics, capture action items and publish.
Responds to inquiries from company executives, internal stakeholders, and external contacts.
Manage equipment orders: office and lab equipment purchase, shipment, tracking.
Provide service management with office: subcontractor, landlord , local taxes authorities, office hygiene and security , work and interact with other departments..
Office/lab space coordination : Support the team and facilitating their onboarding/work conditions.
Support all teams with administrative tasks
Support logistics of participation / hosting / organization to internal and external events/forums/conferences/meeting.
Manages calendar and appointments, creates travel plans and itineraries, chooses travel accommodations within budgetary constraint. Manages expense reporting process for some team members.
Minimum Qualifications:
Experience in administrative support for a multinational company, professional services organization, NGO, Ministries offices
Experience in managing calendar, travel, expense reporting, and event logistics
Demonstrated expertise in writing and verbal communications suitable for executive-level interactions
Knowledge of Outlook, Teams, Word, Excel & PowerPoint
Fluent French and English Languages, other European languages are nice to have
Preferred Qualifications:
· Experience providing administrate support for a divisional lead within a large corporate environment.
· Post-secondary education/coursework in communications or business
Education Requirements:
· High School Diploma or equivalent
Minimum Qualifications:
• Bachelor's degree and 1+ year of Office Administration or related work experience.
Associate's degree and 3+ years of Office Administration or related work experience.
High School Diploma or equivalent and 5+ years of Office Administration or related work experience.
*Completed advanced degree in a relevant field may be substituted for up to one year (Master’s = one year) of work experience.
