The Tender Executive will be responsible for the preparation, submission, and management of all tender documents and processes, ensuring compliance with relevant regulations and guidelines. This role involves coordinating with various departments to gather necessary information, ensuring timely and accurate submissions, and maintaining records of all tender-related activities.
Roles and Responsibilities
Tender Preparation and Submission:
- Research and identify potential tender opportunities through various channels.
- Analyze tender documents to understand the requirements and eligibility criteria.
- Prepare and compile all necessary documents for tender submissions, including technical and financial proposals.
- Ensure all tender documents are completed accurately and submitted on time.
Coordination and Communication:
- Coordinate with internal departments to gather necessary information and inputs for tender submissions.
- Maintain effective communication with clients, suppliers, and subcontractors to obtain necessary information and clarify tender requirements.
- Liaise with clients and tendering authorities to address queries and provide additional information as needed.
Compliance and Documentation:
- Ensure compliance with all legal and regulatory requirements related to tender submissions.
- Maintain comprehensive records of all tender documents, submissions, and communications.
- Review and update standard documentation and templates used in tender submissions.
Tender Evaluation and Follow-Up:
- Monitor and track the status of submitted tenders and follow up with clients or authorities as necessary.
- Evaluate feedback and results from tenders to identify areas for improvement in future submissions.
- Prepare post-tender reports and analyses to inform strategic decision-making.
Market and Competitor Analysis:
- Conduct market research to stay informed about industry trends and competitor activities.
- Analyze competitor bids and strategies to identify strengths and weaknesses.
- Provide insights and recommendations to improve the company's tendering process and competitiveness.
Administrative Support:
- Provide administrative support to the tendering team, including scheduling meetings, managing correspondence, and maintaining databases.
- Assist in the preparation of presentations and reports for internal and external stakeholders.
- Broadening knowledge of own sales territory, product lines, markets, sales processes or customer groups to execute policy/strategy. Still acquiring higher level knowledge and skills.
- Basic understanding of key business drivers; uses this understanding to accomplish own work. Good understanding of how work of own team integrates with other teams and contributes to the area.
- May have some autonomy to make decisions within a defined framework. Resolves issues in situations that require commercial knowledge and judgment within established procedures. Consults more senior team members for issues outside of defined instructions/parameters.
- A job at this level requires good interpersonal skills. Communication with direct colleagues and the business about design and coordination services rendered. For customer facing roles, develops strong customer relationships and serves as the interface between customer and GE. Explains technical information to others.
Key Skills and Qualifications:
- Education : Bachelor’s degree , Commerce, Engineering, or a related field.
- Experience : Minimum of 3 years of experience in tendering, bid management, or a similar role.
- Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with tender management software.
- Communication Skills : Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely.
- Analytical Skills : Strong analytical and problem-solving skills, with the ability to evaluate tender documents and proposals critically.
- Attention to Detail : High level of accuracy and attention to detail in document preparation and review.
- Organizational Skills : Strong organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
- Interpersonal Skills : Ability to work collaboratively with cross-functional teams and build effective working relationships.
Required Qualifications
- For roles outside of the USA- This role requires basic experience in the Sales & Sales Operations. Knowledge level is comparable to a Bachelor's degree from an accredited university or college ( or a high school diploma with relevant experience).
- For roles in USA - Bachelor's degree from an accredited university or college (or a high school diploma / GED with at least 6 years of experience in Job Family Group(s)/Function(s)).
Strong oral and written communication skills. Ability to document, plan, market, and execute programs.
