Key Responsibilities
Customer Service: Deliver the highest level of customer service to employees, cross-functional partners, and vendors. Respond promptly to emails, Zendesk tickets, and Slack messages.
Vendor Supervision: Request and manage purchase orders, enter invoices for payment, schedule service support as needed, and maintain strong communication with vendors.
Maintenance Coordination: Monitor facility maintenance needs (HVAC, plumbing, electrical, cabling, utilities, etc), manage maintenance and repair tickets, and maintain a preventative maintenance system. Supervise a team of 3 on-site maintenance technicians to ensure efficient and effective operations. Coordinate day-to-day workplace activities, including HVAC, utilities, pest control, and more.
Janitorial Coordination: Supervise the on-site janitorial team and maintain a direct relationship with the janitorial vendor to ensure high standards of cleanliness and service.
Asset Control: Update asset inventories for storage, furniture, and other equipment to ensure accurate tracking and management.
Support and Backup: Provide backup to the Workplace Operations Specialist during absences. Assist with company communications and event facilities support, including setup and breakdown. Monitor Slack Workplace channels for operations-related requests/issues.
Assist Workplace Operations Specialist with the planning and execution of MAC (Moves, Adds), and changes to the Workplace space.
Project Coordination: Support office moves, and small construction/build projects, and ensure smooth transitions from start to finish. Work collaboratively with the landlord and vendors to minimize downtime.
EH&S: Collaborate along with the Workplace Manager, Workplace Operations Specialist, the Global Environmental Health, Safety (EHS) and Security teams to ensure compliance with health and safety standards and industry codes. Supporting and partnering with EHS and Security to implement site-specific programs, procedures, and systems to ensure regulatory compliance.
Emergency Response: You will be part of the Emergency Response Team, and training will be provided for first aid and fire warden responsibilities.
Flexibility: Maintain a personal schedule to remain flexible for off-hours and emergency support.
Qualifications
Minimum of 3 years of experience in a similar position.
Proficiency with Gmail, Google Docs, and experience managing workload in a ticketing/project tracking system.
Strong electrical, mechanical, and technical skills.
Desirable to have Project management and MAC (Moves, Adds, Changes).
Demonstrable problem-solving skills and excellent judgment.
Ability to multitask in a fast-paced creative environment with strong attention to detail and organizational skills.
Good verbal and written communication skills in English.
