Our Architecture team is looking to hire a Permitting Coordinator to be based in our Singapore Office. This position provides support and assistance to Architects in the preparation, documentation, and coordination of project deliverables; and interacts regularly with inter/intra-departments, clients, multi-disciplinary consultants, etc. Essential Duties:
- Maintains projects’ documentation and file management system, working closely and independently with Lead Architect(s)/QPs including the administering and upkeeping of projects’ internal and external Electronic Document & File Management Systems.
- Manages and keeps records of incoming & outgoing project correspondences. Ensures timely distribution of information/submissions/comments on project documents received from clients and external parties to respective project teams.
- Maintains records of drawings, project reports, technical documents, correspondences and issuance of deliverables and documentation as per project requirements.
- Assists in the preparation of drawings (CAD, BIM etc.), project reports, presentation materials, printings of drawings/documents/reports for issuance.
- Assists in preparation and issuance of reply for queries, RFI, RFA, submission of materials’ board etc. from internal project teams to external parties.
- Ensures all documents submitted to clients/external parties are aligned with the project’s procedures.
- Actively involved in regular internal reporting and external reporting (for clients), internal and external quality audits.
- Prepares notes, minutes of meetings and coordinates with internal project teams (local & overseas) and external such as clients, multi-disciplinary consultants/sub-consultants, suppliers, etc.
- Assists Lead Architects/Architect QPs in the coordination of internal and external meetings, setting up appointments/meeting invitations.
To be a successful candidate, you shall possess:
- Minimum Diploma in Architecture.
- Deep understanding of the Singapore permitting process and well-versed with codes & regulations.
- Excellent writing skills for submission and permitting purposes.
- Good interpersonal, organizational, and facilitation skills to maintain good working relationships with key stakeholders.
- Documentation and File Management skills such as Project SharePoint, EDMS, CASE, etc.
- Drafting skills such as CAD, Revit, Bentley etc.
- Presentation skills include SketchUp, Adobe Photoshop, Illustrator, InDesign, PowerPoint, etc.
- Ability to organize information using tools such as Microsoft Suite.
- Proficiency in Corenet 2.0 and Corenet X for local authorities submission.
