Key Responsibilities:

  • Invoice Management:

    • Process and review invoices for accuracy and completeness.

    • Ensure timely submission and approval of invoices.

    • Coordinate with vendors and internal departments to resolve discrepancies.

    • Maintain accurate records of all invoices and payments.

  • Investment Tracking:

    • Assist in monitoring and tracking facility-related investments.

    • Maintain detailed records of investment approvals and expenditures.

    • Generate periodic reports to provide insights into investment performance and usage.

  • Purchase Order (PO) Management:

    • Create, review, and process purchase orders for real estate and facility operations.

    • Ensure compliance with procurement policies and budget guidelines.

    • Liaise with vendors and suppliers to confirm order details and delivery timelines.

    • Reconcile POs with invoices and delivery receipts.

  • Administrative Support:

    • Maintain organized records of financial documents and administrative files.

    • Support audits by providing necessary documentation and reports.

    • Assist with budget planning and forecasting for facility operations.

    • Collaborate with the finance team to streamline processes and improve efficiency.

    • Process monthly or quarterly rental payments for approximately 25 facilities within global portfolio.

  • Compliance and Reporting:

    • Ensure adherence to internal controls, company policies, and regulatory requirements.

    • Prepare and present financial summaries and reports for management.

    • Identify and recommend opportunities for cost savings and process improvements.
