Main Duties & Responsibilities
Each day will present different activities and opportunities as you help position Jacobs for success in our sales efforts. Our Proposal Coordinators will be responsible for the following general activities:
- Support proposals under the guidance of senior Sales Operations staff and, as your capabilities grow, lead the End Game coordination of small to medium proposals; may take ownership of section(s) of larger efforts under the guidance of senior staff
- Coordinate, write, edit/tailor, and perform research for non-technical proposal sections; ensure compliance; proactively identify and communicate potential issues/variances
- Participate in kick-off meetings and other milestone meetings, as appropriate
- Begin to develop an understanding of business objectives, priorities, and sales strategies, especially as they relate to the proposal process
- Learn and actively follow Sales procedures, policies, protocols, and best practices, including standard file management and archiving procedures, as well as Branding Guidelines
- Populate/update (as appropriate) information in Jacob’s Client Success Platform (CSP) and business development-related tools and databases
- Develop knowledge of company markets, partner/competitor/subconsultant firms, clients, and industry trends
- Begin to foster working relationships with Operations, other Sales Operations staff, Selling Units, and Sales Enablement teams both locally and across the network
Leadership
- Coordinate/provide direction during End Game to graphic designers, publishing technicians, editors, translators, reprographics specialists, and other support staff, as well as to teaming partners and subconsultants
- Monitor and hold self to proposal schedule
Sales Strategy
- Support Sales Operations team on proposals, lead the End Game coordination of small to medium proposals, and support Senior Sales Operations staff on larger, more strategic proposals. Coordinate as necessary with Client Account Managers (CAMs), Client Service Leaders (CSLs), and Account Strategists (AStrat) on opportunities
- Participate in debrief meetings on completed proposals and apply lessons learned to future efforts
- Check client websites for information and addenda
- Evaluate and resolve problems by applying appropriate solutions and seeking leadership guidance as necessary
- Possess basic understanding of objectives and services provided by the firm Sales Functions and Processes
- Demonstrate excellent oral and written communication skills; possess effective active listening skills
- Write and update project descriptions/summaries, resumes, and other documents with limited supervision
- Have knowledge of and ability to perform contributing skills (including document publishing, editing, and reprographic standards) supporting application of best practices
- Offer suggestions for, or alert leadership to, improvements/additions and lessons learned to streamline processes, procedures, tools/databases, etc.
- Prepare and ensure compliant and timely proposal deliverables, including following proposal process, and meeting client and schedule requirements; communicate issues/variances
- Be accountable for quality assurance/quality check (QA/QC) of assigned proposals and proposal sections
