As the Assistant Project Director, you’ll take the lead on developing and communicating the project work plan, monitor manpower and performance against that work plan, and be able to perform a detailed comparison of the design drawings against each other to ensure coordination between each of the various project trades. You’ll provide direction to the team regarding quality, safety, and general day-to-day operations. Your ability to coordinate onsite work schedules with the client’s staff and manage multiple projects at a time will be critical to your success. Most importantly, you’ll take action to ensure the safety, health and well-being of your team.
- Document control and management of PMIS files
- Manage, track and report on, public outreach documents, DBE compliance, and
invoice review and processing for payment for client contracts. - Perform record-keeping tasks including workflow approvals, composing daily diaries,
- meeting records and maintaining Project logs, RFIs, submittal logs and agreements using a Project Management Information System software.
- Maintain detailed files for the State of New York for all Project documents.
- Communicate clearly and timely with the Project Team as issues arise from funding, scheduling, invoicing, contract compliance, change orders, public concerns, etc.
- Monitor permit compliance and coordination of easement closure with other state agencies
- Perform vendor responsibility reviews and provide list of approved vendors
- monthly.
- Review distribute and approve all public facing materials, public interactions, and responses
- Monitor damage and public claims and ensure satisfactory resolution.
- On a monthly basis review, comment or approve all DBE, M/WBE, and SDVOB documentation.
- Assist in document control for contract closeout.
- Assist in coordination with design-builder and department staff on issues related to contract compliance, invoices, permit closeout and contract closeout documents.
