What to Expect

The individual will be responsible for administering work-related injuries and illnesses including workers' compensation claims and cases related to contracted workers through temp agencies with a strong emphasis placed on employee communication. The Workplace Health Administrator will support day-to-day operations and investigation with managing a number of processes: retrieving incident reports, reviewing ergonomic evaluations and Physical Demand Descriptions (PDD), OSHA recordkeeping, assisting with medical treatment authorization, facilitating a quick return-to-work plan, incident investigation and analysis, data collection/entry, etc. The Workplace Health Administrator will play a key role in case management operations and managing, tracking and organizing documents from Medical providers, claims adjusters, internal stakeholders including supervisors, EHS and HR along with other external parties to aid with the investigation and management of incidents. A successful candidate for this role has worked in the insurance, human resources, safety, and risk management field with extensive experience in employee relations and administrative support.

The candidate must work well on both self-initiated projects and those driven by priorities outlined by management. The ideal candidate takes pride in his/her analytical abilities, organizational skills and attention to detail and appreciates an environment where superior work is encouraged, recognized, and rewarded. Onsite presence required.

Shift: 7:00PM - 7:00AM

What You’ll Do
  • Act as initial point of contact for walk-up inquiries related to occupational injuries, benefit questions and employment concerns
  • Capture key information about the nature of the injury, including when it occurred, how it happened, and where it took place
  • Responsible for administering work-related injuries and illnesses including workers' compensation claims, cases related to contracted workers through temp agencies, and Owner Controlled Insurance Program (OCIP) for a particular assigned business segment with a strong emphasis placed on employee communication
  • Support day-to-day operations of administrative intake and investigation
  • Track and organize documents from medical providers, claims adjusters, internal stakeholders including supervisors, EHS and HR along with other external parties to aid with the investigation and management of incidents'
  • Answer and respond appropriately and timely to email inquiries from internal stakeholders, and third party vendors, including insurance adjusters, external investigators and copy service vendors related to subpoena requests
  • Support Workplace Health team as needed, including Specialists, Lead, Supervisor, Associate Manager, and/or Manager
What You’ll Bring
  • Background in customer service including conflict resolution
  • Minimum 1 year of customer service experience
  • Bachelor's Degree from an accredited college, preferably in Risk Management and Insurance, or industry claims certification, or extensive experience in WC claims area, ARM or CPCU accreditation, or equivalent experience
  • Microsoft Office skills, including proficiency in Word, Excel, and Powerpoint
  • Ability to work effectively and efficiently under pressure while managing competing demands and tight deadlines
  • Quick, accurate data entry, and strong time management skills
  • Enjoys working in a fast-paced, high growth environment

What You’ll Do
  • Responsible for accurately abstracting lease agreements, including updating and maintaining all lease information and data (critical dates, options, rights, clauses, and all payable information) into Tesla database. Track and monitor critical dates; perform data projects as needed to maintain integrity of database
  • Review and process payments of all lease related expenses - revise and dispute as necessary; Analyze and review all operating expense reconciliations and perform desktop audits as necessary; Capture cost avoidance and recoveries; Manage tenant allowance billings and collections; Manage security deposit collections for closed locations
  • Confirm possession with Construction team and issue formal notifications to landlords as necessary; Resolve Landlord and Tenant lease disputes - must be able to negotiate, offer alternatives and understand the consequences of the positions taken; Initiate to completion landlord lease repair and maintenance compliance
  • Complete diligence necessary to prepare Commencement Date Agreements and Estoppels; Issue Renewal Option letters as required; Coordinate with cross functional partners on location closures - provide surrender language, issue termination notices as necessary and ensure proper cessation of rents
  • Partner closely with internal Tesla teams such as Legal, Real Estate, Design, Construction, Finance, Vendor Changes, Tax, Internal Audit, Facilities Operations, Workplace and Accounts Payable; Provide reports and information as required
What You’ll Bring
  • Degree in Real Estate, Finance or relevant areas and/or equivalent experience
  • 5-7 years of Lease Administration or Commercial Property Management experience required
  • Ability to read and understand commercial real estate lease terms and complex legal positions with a basic knowledge of construction, building repair and maintenance
  • Proactive, analytical, strong attention to detail and organizational skills with the ability to prioritize and juggle multiple and high volume of tasks and projects with the added ability to work independently and drive solutions to problems/issues
  • Effective oral and written communication and stakeholder management skills, including the ability to build an environment of trust with all levels of the business in a cross functional environment
  • Excellent computer skills. High level Excel skills, proficient in lease administration/database software and Microsoft Word
