Your key responsibilities

You will be responsible for the day-to day administration tasks like managing or supporting fleets of corporate credit cards, mobile phones or cars. In this role you will be also responsible for archiving commercial agreements and updating policies and procedures.

As a part of WES team you will be:

  • Preparing office utilization reports
  • Working closely with Procurement dept. to onboard/renew vendors
  • Preparing purchase orders in procurement system, processing invoices and delivery notes for services and goods
  • Supporting mobile phones fleet administrator (supporting users, ordering new devices, providing replacements, preparing insurance claims, assigning invoices to cost centers, preparing reports, controlling costs, cooperating with telecom and mobile devices suppliers )
  • Managing Corporate credit card fleet (supporting users, processing requests, queries, cooperation with vendor)
  • Supporting car fleet administrator when needed
  • Managing commercial agreements archive in line with company policy
  • Updating internal policies like Corporate Mobile Phone Policy
  • Assisting in the onboarding and offboarding processes in above mentioned areas with various parties involved (including IT and HR department)
  • Contributing to process improvement initiatives and projects that may arise

Skills and attributes for success

  • 3+ years of experience in administration field
  • Experience in fleet management (mobile phones, cars, etc.)
  • Minimum intermediate Excel skills
  • Being a pro-active, detailed oriented and having the big-picture perspective orientation and having a creative attitude will be also an advantage
  • Very good spoken and written English
  • Abilities to set priorities and organize your own working time would be important success factors in this role

Essential Functions of the Job:

  • Work closely with the Global SL Talent Leader and Directors to contribute at both an operational level to the successful operation of the SL Talent team.
  • Work alongside the Global SL Talent Leader to ensure requirements, issues and actions raised by senior business leaders are prioritized and addressed by the Global SL Talent team or wider Talent eco-system
  • As required, prepare presentations and reports to support effective engagement with business leadership
  • Work alongside the SL Talent leaders to help build out Talent Consulting capability across the team. Attend cross-SL meetings to identify common needs, change initiatives/priorities and areas for improvement. Capture actions and help to drive the right outcomes.
  • Ensure the availability of quality Talent reporting from the SL Talent team to the business (e.g. SL headcount, workforce planning, DAP hiring, D&I etc). Where required, develop and maintain reports, highlight points of interest and make recommendations on how to leverage the data to drive key Talent priorities (working closely with PDRA)
  • As directed by SL Talent Leaders complete research on emerging trends/issues either internal or external and present highlights to leadership
  • Where necessary work to assess Talent related SL/business performance issues. Engage and work with the appropriate Talent function to consider appropriate solutions and (where necessary) raise requests for change investment via the approval channels
  • As directed by SL Talent leaders and Talent Consultants help respond to complex and urgent Talent queries pertaining to key stakeholder groups, conduct analysis and/or leverage experience across Talent ecosystem to provide guidance and address talent matters
  • As required, support delivery of key Talent processes and provide project coordination for the Global Talent team
  • Due to global nature of the role; travel and willingness to work alternative hours will be required

Analytical/Decision Making Responsibilities:

  • Awareness of business strategy and performance trends
  • Ability to leverage information and/or internal data to prepare reports or presentations on behalf of the Global SL Talent Leader or leadership team. Ensure data and analytics can be presented effectively to leadership
  • Ensure availability of regular reports working with colleagues across Talent and HRS. Analyze and maintain reporting.
  • Analyze business issues/opportunities as they related to Talent/workforce issues. Assess root causes and propose solutions

Supervision Responsibilities:

  • Assist the GDS functional leaders on all the GDS Poland & Hungary requirements by facilitating any functional discussions, implementation and change management of related activities across the two GDS locations.
  • Track and report through work with technical teams to align the requirements and dashboards, as well as preparation of reports for both internal and external stakeholders.
  • Act as a trusted business advisor through provision of exceptional customer service and delivering seamless procurement end user experience and accomplish quantitative value through savings, cost avoidance and operational efficiencies.
  • Lead and support procurement solutioning to address functional and process challenges across GDS Poland & Hungary.
  • Work closely with SCS key Business Partners, including but not limited to Finance, Global Counsel’s Office and Risk Management, to minimize EY’s risk exposure and ensure full compliance with relevant policies.
  • Delivery of global and team-specific key functional targets (including SLA & KPI) e.g. Quantitative Value, Speed-to-Market and Customer Satisfaction.
  • Build a robust vendor ecosystem for in scope GDS locations.
  • The role has a seat at the GDS Procurement Leader’s team.

Skills and attributes for success

  • Business acumen and commercial skills to help leadership drive procurement and demand management strategies across a broad array of portfolios for the Global Procurement function.
  • Strong procurement expertise and commercial acumen to drive sourcing and demand management strategies across a broad array of category services.
  • Strong functional, technical, analytics and operations background with understanding of core procurement processes.
  • Be the functional expert with capabilities to drive key projects end to end.
  • Good knowledge in Microsoft office tools, especially Excel and PowerPoint.
  • Good organization, analytical and problem-solving skills.
  • Updated on all government notifications with respect to vendors and service providers statutory and compliance aspects.

Responsibilities:

  • Day-to-day full bookkeeping for our clients
  • Participation in preparing tax returns
  • Participating in year-end closing, preparing the relevant documentation
  • Participation in preparing statutory financial statements
  • Participation in converting IFRS and/or US GAAP data to statutory
  • Prepare group reporting packages in the format required by clients
  • Provide assistance to the auditors of the prepared financial statements
  • Perform all tasks upon your direct superiors request
  • Maintain relationship with foreign clients
  • Maintain a client-oriented mindset at all times
  • Establish strong relationships with your team members
  • Use technology to share knowledge with team members and enhance service delivery

Requirements

  • University/college degree in finance/accounting or a chartered accountant degree
  • More than 1 year of relevant work experience in full financial accounting and preparing financial statements
  • Business English and Hungarianwritten and spoken
  • Good knowledge of Office products (Ms Excel, Word, Powerpoint, etc.)
  • Positive attitude, willingness to work in a dynamic multinational environment
  • Attention to details with a commitment to high quality and accuracy
  • Ability to communicate effectively and efficient at all levels
  • Client-oriented mindset

Your key responsibilities

You will be responsible for the day-to day administration tasks like managing or supporting fleets of corporate credit cards, mobile phones or cars. In this role you will be also responsible for archiving commercial agreements and updating policies and procedures.

As a part of WES team you will be:

  • Preparing office utilization reports
  • Working closely with Procurement dept. to onboard/renew vendors
  • Preparing purchase orders in procurement system, processing invoices and delivery notes for services and goods
  • Supporting mobile phones fleet administrator (supporting users, ordering new devices, providing replacements, preparing insurance claims, assigning invoices to cost centers, preparing reports, controlling costs, cooperating with telecom and mobile devices suppliers )
  • Managing Corporate credit card fleet (supporting users, processing requests, queries, cooperation with vendor)
  • Supporting car fleet administrator when needed
  • Managing commercial agreements archive in line with company policy
  • Updating internal policies like Corporate Mobile Phone Policy
  • Assisting in the onboarding and offboarding processes in above mentioned areas with various parties involved (including IT and HR department)
  • Contributing to process improvement initiatives and projects that may arise

Skills and attributes for success

  • 3+ years of experience in administration field
  • Experience in fleet management (mobile phones, cars, etc.)
  • Minimum intermediate Excel skills
  • Being a pro-active, detailed oriented and having the big-picture perspective orientation and having a creative attitude will be also an advantage
  • Very good spoken and written English
  • Abilities to set priorities and organize your own working time would be important success factors in this role
