Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.

  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: Microsoft Cloud Background Check:
    • This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred/Additional Qualifications

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • 2+ years experience serving as mentor to others.
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • Effective written and verbal communications skills.
  • Previous Microsoft experience with knowledge and proficiency of Microsoft products including Outlook, Office, Microsoft Teams, PowerPoint, and experience with internal systems such as Employee Central, MyOrder, MS Expense2, iCIMS, Cytric travel, My Device is a plus.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.Certain roles may be eligible for benefits and other compensation. Calendar Management and Meeting Logistics

  • Provides strategic calendar management and time planning support. This includes attention to accuracy, timeliness, conflict resolution and alignment to the leaders’ priorities and commitments, in partnership with the executive office.
  • Effectively utilize the leaders’ bandwidth through calendar management and monitoring for time efficiency.
  • Gathers, prepares, and provides meeting materials.
  • Cross collaborating, planning, and managing logistics for leader’s team meetings such as Town Halls, staff meetings, morale events and team offsites.
  • Owns the coordination, logistics, and direction for events for Leader and team. Proactively drives actions needed to ensure event outcomes.

Rhythm of Business (ROB)

  • Understands and helps implement rhythm of business (ROB) in line with the business priorities and proactively actions on business cadence.
  • Uses discretion to determine a distribution plan for confidential internal and external communications and brings awareness to patterns.
  • Supports continual implementation and flexibility of the ROB by partnering with executive office and peers, while gathering feedback.
  • Uses judgment and knowledge of business context to identify and provide delegates for meeting conflicts as needed, makes decisions around prioritization and keeps manager informed.

Resource and Travel Management

  • Assist executive office with managing budget for the team, headcount, and PCN operations within your teams.
  • Maintains and manages up-to-date space-management processes and team spaces in alignment with executive office.
  • Ensure smooth execution of travel arrangements, booking, and scheduling, both domestic and international. Aligning to all requirements for destinations, including business travel documentation.
  • Creates itineraries/agendas for daily activities by building agenda and setting and managing travel expectations to maximize trip productivity.
  • Distribution and Security Group ownership and management for the leaders’ teams.
  • Team management support (including headcount, hardware management, recruitment, onboarding/offboarding).
  • Partners with Leader and team to own and support expense management and purchase order documentation processes, also managing expense tracking and submissions for Leader.

Leadership

  • Provide leadership and actively participate in the Business Support community. Collaborate closely with Business Support professionals embedded in the Databases team, mentor new Business Support staff, and contribute to the organization's culture.
  • Leads by example and serves as a role model to Business Support colleagues by maintaining a positive attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during challenging situations.
  • Builds network across organizations to enable their team and leader's work, while serving as a liaison between executives and teams.
