What you`ll do

As (Senior) Personal Assistant (f/m/d) to Dr. Gero Decker, General Manager of SAP Signavio P&E, you are supporting him in his daily business and his executive responsibilities. Please be aware this is a limited contract position due to a maternity cover leave.

The Role:

  • Managing calendar and inbox of the General Manager of SAP Signavio P&E end-to-end

  • Scheduling and coordinating meetings for him including all logistical preparations with foresight (e.g. booking of sufficient meeting rooms, required transfers, additional requirements for the meeting like catering, alignment with the IT on the set-up)

  • Supporting with leadership team offsites and team meetings

  • Monitoring actions and managing reminders independently

  • Managing internal and external correspondence with high profession

  • Co-ordination of travel arrangements including organizational preparation and follow-up activities like travel expenses. This includes also complex global travel with visa processes, transfer scheduling and time

    difference considerations

  • Managing Workflows and monitoring items like vacation requests, purchase orders, internal orders, distribution lists, inventory etc.

  • Perform and monitor purchase activities (e.g., office material, business cards, 3rd Party purchasing), including master data creation and administration, creation of shopping carts, reporting and tracking on purchase orders

  • Manage shared drives and communities

  • Supporting the General Manager of SAP Signavio P&E and his direct reports with knowledge sharing, administrative tasks and guidance, community building and best practice sharing

  • Managing customer contact E-mails and continuous exchange with sales colleagues

  • Update materials including PowerPoint and excel spreadsheets for meetings and presentations

What you bring:

  • Proven record of excellent organizational skills
  • High level of flexibility, proactive, independent working attitude, and mindset of an excellent team player
  • High impact interpersonal, networking and communication skills, comfortable to work on all hierarchy levels of the organization, act self-confidently with top management executives
  • Ability to multi-task and deliver highest quality work under time constraints and in complex environments with little supervision, demonstrate creativity in solving upcoming problems
  • Highest level of customer-centricity, integrity, and confidentiality
  • Members and a proven record of organizational and communication skills
  • Fluency in German (to review/prepare documents/E-Mails in German) and English - both written and spoken
  • Excellent knowledge in MS office applications
  • High degree of accountability in support of executives, safeguarding confidential information
  • Must be able to work with little supervision on daily assignments and must be able to take initiative in all tasks
  • Network within SAP and experience in administrative roles ideally with executives and Executive Board is a plus


The start date for this role depends on when maternity leave begins, which could be anytime between mid-July and mid-August. The contract is set for 12 months starting from the maternity leave but might end sooner if the employee opts to come back earlier than planned.
