- Coordination Parent Information required requests
- Population MDR Central database
- Document management
- Finalizing & signing engagement letters/statement of work (incl DocuSign)
- Post (in & out) + DHL
- external invoice approvals and research
- Follow up with AP on incoming invoices + Scan iManage for non-client related invoices
- Expense processing
- Booking of travel
- External seminars (subscription)
- Internal seminars (attendance list, request Bar points, preparation certificates)
- Meeting room reservations
- Agenda management
- HR matters
- Preparation for new joiners in cooperation with onboarding team
- Board of Directors + taking minutes
- Office supplies (Lyreco + business cards + branded supplies)
- Holiday planner management
- Coordination with BMC/Facilities for marketing matters
- Research UBO register for AML purposes
- Help teams to lay-out word documents: table of content, article numbers, page numbers, …
- Weekly EY Law news flash + jobcode overview
- Management of registered letters and couriers
- Marketing List / update Marketo with new client contacts
- Website updates
- Follow-up on client feedback process
- Help teams to improve PowerPoint presentations
Your Profile
You have:
- You have a Bachelor degree in Office Management/Languages or you have a relevant experience;
- You are a good communicator and you are fluent in Dutch, French and English;
- Very good knowledge of Microsoft Office.
- Strong organizational skills (able to successfully handle multiple tasks at the same time and to prioritize);
- Strong communication & interpersonal skills to perform successfully in a fast-paced and client-oriented environment;
- Professional, dedicated & hardworking;
- Proactive, able to take initiatives & flexible;
- Stress-resistant (able to work towards deadlines efficiently).
