THE ROLE

Provide support to the Legal Operations team with tasks related to Spend Management. The Legal department utilizes a specialized Legal eBilling system called Brightflag, and you will be responsible for the following.

  • Level 1 end-user troubleshooting support. You will be fully trained before working on your own.
  • Work on various system-related projects to help reduce the volume of recurring level 1 support inquiries. More specifically you will focus on the following tasks.
    • Fix data quality issues by cleaning up unlinked invoices and resolving unmatched SAP entities and cost centers, which are currently handled reactively and are causing downstream problems.
    • Collaborate with billing coordinators to resolve recurring invoice rejection issues. This includes analyzing suppliers with frequent invoice rejections and resubmissions and working with SAP in-house counsel, suppliers, and Brightflag to correct behaviors causing repetitive errors.
    • Help resolve dormant invoice issues, by collaborating with approvers where the invoice approval has been pending for over 14 days.
    • Troubleshoot and reconcile invoice rejections from Accounts Payable (AP)
  • Send communications to suppliers to ensure timely receipt of their monthly accrual, forecast, and budget submissions.
  • Develop reports using Excel Power PIVOT to increase usability, depending on your skillset, this could extend beyond Brightflag to other Spend Management Systems.
  • Time permitting, other project-based work would include helping with QA testing Legal’s workflow spend management system (Checkbox).

ROLE REQUIREMENTS

  • Student (f/m/d) at a university or a university of applied sciences related to Economics, Business, Management
  • Computer skills: Excellent usage of tools for executive presentations, Excel and ability to work with Microsoft Products.
  • Language skills: fluent in English, any additional language is a plus
  • Soft skills: team player, expert in organizing, creative, working in an agile environment, able to take ownership of tasks and drive them through to completion
