Purpose Statement
- Primary focus is delivering high level of service and superior customer satisfaction to country Sales & Marketing teams. Main point of contact for the business, internal & external customers, agencies and other functions. Responsible for partnering with the business, by providing the logistics, co-ordination and administrative support to, internal and external, meetings, trainings & events. Works with autonomy, with general instructions given on new assignments, always in compliance with internal policies, guidelines and procedures.
- Preferably based in any Country / European BSC Hub to which the individual provide support.
Key Responsibilities
- Reference contact person for country Sales & Marketing teams, occasionally for external customers, local HCP/HCO/PCO (Country MedTech Orgs), preferred vendors and conference organizers, providing information, answering queries related to established policies and procedures. Directing people to the appropriate resource.
- Lead the IRF (Internal Request Forms) management for local HCPs events and activities, upon internal requestors detailed and documented requests. Ensuring timely communication and proactive partnering with all key stakeholders of the IRF process. May support cross country and cross divisional IRFs.
- Lead organization and logistic arrangements for local events with HCPs, internal trainings & meetings partnering with Country sales and Marketing teams. May be required to collaborate with EMEA / Global teams.
- Responsible for ordering products or services for a third party:
- PR (Purchase Requisition) and Purchase Order (PO) management (preferred supplier, vendor creation request and follow up, payment terms, finance information, quotation, and budget, TPIs…) in collaboration with Business Support Central Services Team.
- Invoice handling. Payments follow up & invoice status.
- May assist Opex follow up with divisional FP&A: spend and budget tracking.
- Provide administrative support where necessary to the business. This is not an exhaustive list but it may include: updating internal files, creating documents (letters, reports, spreadsheets, etc.), in addition to organizing, confirming & arranging the logistics, contracts, dinner/lunch arrangements and master schedule for local events and tradeshows, coordinate the communication with the relevant teams.
- Proactively use Lean Business methodology to increase efficiencies within our internal processes, whilst creating additional value to our internal and external customers.
- May become a Subject Matter Expert (SME) in a particular area or field within Business Support Function, providing guidance and strategy to the Local & EMEA Teams.
- Ensures awareness and compliance with applicable standard operating procedures to meet, comply and champion all quality and regulatory commitments of Boston Scientific.
- Internal & External Audit administrative support linked to HCPs interactions, events and meetings.
- May be required to support other Country/ EMEA Business Support Teams on activities outside of current role.
- May be required to support New Service Requests. Collaborate on EMEA and Local projects/assignments previously aligned and agreed by Business Support Manager &/or Business Support Director.
- May be required to travel & assist Local, International Events, EMEA Meetings, in collaboration with other Business Support team members, held within own country, IAS or another Country (according to BS meeting guidelines)
- Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner.
