As a Business Administrator, you will work in close partnership with a Principal Engineering Manager and the Admin team to provide seamless support. You will also partner with the business administration community on various Org related events.

The position requires someone who has excellent communication, organizational and interpersonal skills along with the ability to work at the Microsoft executive level. It also requires someone who can clearly prioritize and handle multiple tasks simultaneously within a global and cross-organizational team seamlessly. This role will require in-office presence.

Required Skills:

  • 2+ year experience providing executive level administrative support in a fast-paced capacity.

  • Excellent organizational, analytical, anticipatory, and written communications skills.
  • Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity.
  • Solid project-management and problem-solving skills.
  • Must have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Eager and able to work effectively under pressure with short time constraints and in relatively ambiguous and complex situations, as well as the ability to adjust direction in response to changing work situations.
  • Work collaboratively with administrative teammates within and outside the organization; in addition, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
  • Strong Experience with Outlook, Microsoft Teams, Word, Excel and PowerPoint, OneNote a plus
  • Strong experience with internal Microsoft tools such as Employee Central, MS Expense, MS Travel, MyOrder, etc. a plus.
  • BS/BA degree preferred
  • May require the ability to lift up to 20 lbs.
Responsibilities
  • Manage and maintain complex calendar to ensure accurate scheduling and time management for Principal Manager.
  • Plan and coordinate domestic and international travel from end to end for manager as well as other high level leads in the area
  • Reconcile, submit, and review expense reports in compliance with MS Policy
  • Assist with all meeting logistics, small to large events and other ad-hoc administrative tasks
  • Proactively provide administrative and staffing support to the team, including but not limited to space, asset management, procurement, headcount management, new/internal onboarding, and event management.
  • Schedule employee morale events, team all hands and off-sites.
  • Reconcile and submit expense reports in a timely and compliant manner, and travel coordination for VP (domestic and international travel), including on-the-ground logistics.
  • Maintain group information with confidentiality and integrity. Use discretion to make decisions within your area of responsibility.
  • Procurement of goods and services including computer equipment, office supplies, reference materials and facility requests.
    Manage aliases and support new employee setup (office, equipment, etc.)
  • Build an understanding of what is critical to the business, allowing to make the appropriate decisions which impact the Leaders time.
  • Additional daily administrative tasks may be required as well.
