Job Description

Senior Administrative Assistant - Corporate Development (m/f/d)

This role will support the AVP of Commercial BD&L who is based out of Switzerland and has all international markets outside the US, as well as, three regional Executive Director BD&L leads along with some limited support for their direct reports.

Main Responsibilities:

  • Provide administrative support to head of Commercial BD&L for international markets and team as necessary, including calendar management, correspondence, expense and travel management, document production (presentations, org charts, emails, letters, etc.) using appropriate software packages (e.g. MS Outlook, Word for Windows, PowerPoint and Excel), general office administration and office management and ad hoc projects

  • Liaise with other divisional support functions and stakeholders to ensure alignment and shared co-ordination of joint projects and meetings

  • Conduct business processes that support the function using appropriate software packages, e.g. expenses, PO raising, invoicing, etc.

  • Arrange and book travel, transport, transfers, accommodation, meeting facilities, conferences, global videoconferences and teleconferences, events, registrations; produce complex itineraries for all trips

  • Arrange and coordinate teleconferences and internal/external meetings (small and large); book meeting rooms, equipment, hospitality, etc.

  • Welcome visitors; arrange transport, accommodation, itineraries and hospitality for visitors, as required

  • Gather materials required for meetings, as required

  • Work with other members of the Regional teams to coordinate responsibilities and key projects e.g. budget management, project charter tracking, team calendar

  • Proactively contribute to business processes through administrative and organizational activities as required, including seeking to improve their effectiveness and efficiency

  • Conduct all activities in compliance with company policies and standard operating procedures

  • Collaborate with other internal stakeholders such as Finance, Legal and Procurement to ensure appropriate follow up of internal processes related to Regional projects

  • Travel Management (including visas)

  • Internal & External Meetings coordination

  • Follow up on action items during weekly meetings

  • Regional Calendar Planning

  • Track on-boarding requirements for all new members of the Regional Team

  • Close liaison to Corporate HQ and Corporate BD&L Admin Team

  • Manage Congress Registrations

  • Manage SharePoint and Teams Sites and Distribution Lists

Profile:

  • High School Diploma or Equivalent

  • Significant administrative experience, including supporting senior executives

  • Strong written and verbal communication; strong interpersonal skills

  • Demonstrated ability to work with senior executives and admins

  • High prioritization and working through complex situations across divisions and senior stakeholders

  • Demonstrated IT Competent - Excellent knowledge of MS Outlook, Teams, Word for Windows, PowerPoint and Excel

  • Experience of working within a complex organization

  • Very strong prioritization and organizational skills

  • Ability to work under pressure and with limited direction on a day-to-day basis

  • Ability to show own initiative, logical thinking and creative problem solving in response to day-to-day situations

  • Ethics and integrity, awareness of compliance requirements and maintaining confidentiality as normal way of working
