As a Business Assistant in the Investment Bank, you will provide senior-level support in a dynamic, fast-paced environment. You will manage complex calendars, coordinate high-level interactions, and ensure seamless communication and scheduling. We seek individuals who demonstrate flexibility, adaptability, and the ability to operate effectively in a confidential and demanding environment. Your role will involve collaborating with business management and stakeholders, arranging travel, and supporting team operations.

Job responsibilities:

  • Provide daily executive support to the Investment Banking team, including senior MDs.
  • Proactively manage complex calendars, scheduling meetings, calls, and coordinating off-sites and town halls.
  • Serve as the primary point of contact for C-suite client assistants, managing high-level interactions and coordinating schedules.
  • Handle client interactions and departmental scheduling, ensuring seamless communication and coordination.
  • Collaborate with Business Management and other stakeholders, delegating tasks as needed.
  • Arrange travel and entertainment bookings while monitoring and enforcing compliance with company policies, ensuring timely submission of required documentation.
  • Utilize internal systems for data entry, reporting, and information management.
  • Maintain distribution lists, technology usage, and administrative tasks.
  • Support projects and training initiatives to enhance team operations.
  • Provide coverage for assistants across the Line of Business as required.

Required qualifications, capabilities, and skills:

  • Proficiency in English and German, with strong communication skills.
  • Proven experience as an Executive Assistant, with a track record of managing complex calendars, building business relationships, and supporting senior stakeholders.
  • Prior experience interacting with C-suite client assistants, demonstrating professionalism and effective communication.
  • Expertise in arranging travel and optimizing schedules and costs.
  • High attention to detail and ability to deliver quality results under pressure.
  • Strong team player with a positive, solution-oriented mindset.
  • Interest in technology and familiarity with expense systems.
  • Adaptability to changing priorities and an understanding of the Investment Banking environment.
  • Ability to act as a role model, maintain professionalism, and ensure compliance with internal policies.
  • Proactive in identifying and escalating concerns or issues to maintain operational integrity.
