Job duties include:
Conference and Event Responsibilities
LOB Strategy by execution for conference, events, sales tools, and social media
• Coordinate and lead monthly meetings with Real Estate segment COO’s
• Partnership with Marketing and communications to ensure proper messaging and reinforcement of brand via LinkedIn postings.
• Keep clear concise communication with segment leads and other planning coordinators during the planning period and events.
• Maintain proforma and actual budget information on an ongoing basis. Track ROI on spend.
• Organize and manage master Conference/Event Calendar
• Ensure sales’ tools, like PowerPoint templates, product sheets, etc., are updated and availableConference / Event coordination:
• Obtain New Event form from Real Estate Events mailbox, review and set up initial call with segment lead/s to discuss and gather any additional information regarding the event.
• Initiate and coordinate re-occurring calls (weekly or bi-weekly)
• Create and manage the Project Plan for conference and/or event.
• Order branded items via Skyline to be sent to conference or client reception venue.
• Coordinate and process conference sponsorships. Ensure all sponsorship benefits are submitted to conference in a timely manner (logo, ads, descriptions, etc.)
• Manage Real Estate Events / Real Estate Conferences mailbox and coordinate shared calendar.
• Prepare and send communication via email to internal participants with essential information pertaining to conference/event. (“What you need to know & talking points”)
• Reserve and manage client dinner reservations during conferences.
• Plan the reception menus with segment leads.
• Arrange and coordinate group transportation needs.Conference/Event On site support:
• Attend and oversee conferences and/or events when necessary.
• Partner with venue contact and LOB partners to ensure contract details are fulfilled.
• Organize and distribute name badges at check in table while reconciling attendee list for event.
• Ensure PNC Branded materials are displayed where applicable.Payment Processing:
• Process invoices via PeopleSoft Employee Portal (AP Dept)
• Set up New Supplier in PeopleSoft
• Ensure segments are utilizing the appropriate cost centers for event expenses.• Design setup of Save the Dates and Invitations, guest list management, status emails and reports via Cvent.
• Source venues and hotel room blocks via RFP / manage contract negotiations.
• Negotiate hotel room blocks, meeting spaces and F&B needs to achieve most favorable terms.
• Review and reconcile initial BEO (banquet event order) and final invoice to ensure line items match the executed contracts.
• Obtain all necessary invoices, contracts, and documents during the planning of event to maintain in project file on SharePoint.
• Maintain Conference and Event resource page on Real Estate segment Collaboration sites.
• Maintain SWAG items – order/refill, manage inventory log, FedEx in/out materials.
• Maintain PNC Real Estate tablecloths (clean, iron, etc.)
• Evaluate events success with LOB partners.

Certifications are often desired.
