What You’ll Be Doing:

  • Administrative Support:

    • Manage office supplies and inventory.

    • Coordinate and schedule meetings, appointments, and travel arrangements.

    • Prepare and distribute correspondence, memos, and reports.

    • Maintain and update company databases and records.

    • Assist with the preparation of presentations and other documents.

  • Office Management:

    • Ensure the office is clean, organized, and well-maintained.

    • Handle incoming and outgoing mail and packages.

    • Greet and assist visitors, clients, and employees.

    • Manage office equipment and coordinate repairs and maintenance as needed.

  • Shipping and Receiving:

    • Oversee the receipt, inspection, and storage of incoming shipments.

    • Prepare and process outgoing shipments, including packaging and labeling.

    • Maintain accurate records of all shipping and receiving activities.

    • Coordinate with carriers and vendors to ensure timely delivery and resolve any issues.

    • Monitor inventory levels and reorder supplies as necessary.

  • Customer Service:

    • Respond to inquiries and provide information to clients and customers.

    • Handle customer complaints and issues in a professional and timely manner.

    • Collaborate with other departments to ensure customer satisfaction.

  • Financial Responsibilities:

    • Manage invoicing processes efficiently.

    • Collaborate closely with the JEC finance team to handle ITS accounts payable (AP) and accounts receivable (AR) details and costs.

    • Monitor and follow up on regular payments, including utilities (water, rent, gas) and other services.

What We’re Looking For:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.

  • Proven experience in office administration, shipping, and receiving.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to work independently and as part of a team.

  • Attention to detail and problem-solving skills.

  • Proficient in English (both spoken and written).

Work Environment (including Physical Demands):

  • Work indoors. Environment can be noisy and dealing with different temperatures (e.g., extreme heat).

  • Ability to lift a maximum of 30 lbs.

  • Work shifts may include days, afternoons, nights, or continental.

  • Ability to stand and walk for long periods at a time.

  • Able to work overtime when required/requested.
