Key Responsibilities:
- Administer and manage EY's lease and sublease portfolio, ensuring comprehensive oversight of office locations.
- Abstract leases and subleases with a focus on legal accuracy, capturing key terms and conditions in a clear and concise manner.
- Oversee rent payments and sublease invoicing, ensuring timely transactions and meticulous financial tracking and reporting.
- Perform desk audits to verify compliance with lease terms, identify cost-saving opportunities, and maintain high-quality standards.
- Maintain and enhance the real estate database (IWMS Tririga), guaranteeing data integrity and accuracy for all property-related information.
- Manage standardized lease abstraction processes, including quality reviews and checks of templates from external vendors.
- Liaise with external vendors to ensure consistent adherence to standardized processes and maintain high-quality deliverables.
- Handle reporting on lease abstraction, track progress, and address any ageing or quality issues.
- Provide updates and reports on abstraction templates and processes to Area and Regional Real Estate Leaders.
- Support and contribute to the standardization of the Rent Payment process across regions.
- Serve as a point of contact for Real Estate leaders, assisting with lease administration activities and addressing related queries.
- Support Real Estate and Facilities Management (FM) personnel, including Region Directors of Administration, Business Managers, and Location Managers.
- Develop and maintain lease-related reporting and analytics for stakeholders.
- Collaborate with cross-functional teams to drive solutions and enhance lease administration processes.
- Fosters an environment that promotes the sharing of knowledge and leading practices, and builds on learning to serve the organization
- Promotes effective teaming with multitasking capabilities
- Contributes to achieving of EYPP score for the team
- Stays connected with key stakeholders/customers and builds long-term relationships, through active dialogue on GDS capabilities and thorough understanding their business priorities
- Proactively senses and enables building of future skills for self and team. Drive to improve Digital Adoption Index (DAI)
- Drive cost savings through automation and innovation initiatives. Achieve operational efficiency goals (Automation & Productivity)
- Contributes to upskilling of team members and encourages to develop a technical acumen thorough with the ES Digital Platform offerings
- Increases GDS usage by expanding service portfolio at the appropriate pricing model
- Increase GDS usage and penetration
- Consistently enhances service delivery, becomes a trusted advisor for the stakeholders
- Regularly contributes to automation and innovation initiatives, leveraging the latest tools and technologies
Qualifications:
- Bachelor's degree in Business Administration, Real Estate, Finance, Law, or a related field.
- A minimum of 9 -12 years of experience in lease administration, with a preference for candidates with a legal background or strong knowledge of lease agreements.
- Proficiency in real estate software, including IWMS Tririga and Mercury SAP will be an added advantage.
- Exceptional attention to detail and the ability to manage multiple tasks and projects simultaneously.
- Excellent communication, negotiation, and stakeholder management skills.
- Self-motivated with a solution-oriented approach to challenges and a commitment to quality.
- Ability to work independently and collaboratively within a team environment.
