What you’ll achieveThe role is to provide project/BU coordination and facilitate key activities as defined within the operations management/ delivery framework to successfully track progress during project execution. The role will also be required to provide administrative support to the delivery leadership in managing schedules, drafting key communications, reviewing and approving supporting documentation and tracking key tasks as per schedules etc.
You will:
- Coordinate executive communications, including taking calls, responding to emails and interfacing with clients, prepare internal and external corporate documents for team members and industry partners
- Schedule meetings and appointments and manage travel itineraries, arrange corporate events to take place outside of the work place, such as Team events, QBR etc.
- Maintain an organized all BU related artifacts, uphold a strict level of confidentiality, Develop and sustain a level of professionalism
- Project/activity coordination and communication management, manage key delivery schedules, milestones completion and status reporting at various levels of BU leadership.
- Manage and update supporting documentation, checklists etc and provide all administrative support to the delivery manager, perform cross BU coordination on key activities including time share & availability management to facilitate efficient collaboration.
- Manage vendor relations, facilities and external partners mapped to the consulting BU – billing, invoice management etc, administrative documentation management – plans, checklists, PowerPoints, document review and approval process tracking.
Essential Requirements- Minimum 8 Years of relevant experience as Biz Ops Analyst/Executive assistant / project coordination and day to day collaboration activities, directly reporting to Senior leadership.
- Excellent skills on Microsoft office suite and workplace tools – Mail, Calendar, Word, Excel, PowerPoint. Procurement systems etc
- Should have worked in matrixed organization and should be well versed on timeshare planning among key leaders and their schedules etc.
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Confident communicator with good articulation and negotiation skills . Should be able to handle onshore calls and if required customer interactions as part of project delivery.
- Self driven & motivated : Should be able to perform with minimal oversight based on expectation and outcome settings.
Desirable Requirements
- Experience working with US based customers or call interactions.
- Working in executive assistant capacity to senior leaders – manage time, schedules and critical tasks.
- Understanding of software services and technology ecosystem relevant to the digital landscape.
- Understanding/familiarity of ERP system or Dashboard tools for reporting – Jira, Tableau etc.
