Job Summary:

As a Business Assistant within the Commercial & Investment Bank, you will predominantly perform diverse secretarial duties. You will possess a strong work ethic and a solutions approach . You will support business leaders across different lines of businesses.

Job Responsibilities:

  • Provide advanced, proactive diary/email management, facilitating swift set-up of client meetings.
  • Be client facing and comfortable dealing with internal and external stakeholders.
  • Provide shared phone coverage for a busy group, involving significant interaction with clients and senior members of the firm.
  • Set up meeting, conference calls, telepresence - internally and externally.
  • Finalize travel arrangements: co-ordination of flights, check in, VISAs, accommodation and ground. transportation logistics following a Corporate Policy. Manage a multitude of frequent changes at short notice and prepare travel itineraries.
  • Manage expense processing , reimbursement, account reconciliations.
  • Be an integral part of business, understand group priorities and business expectation.
  • Perform general administration duties (Room bookings, filing, photocopying).
  • Provide team support and partner with assistants across the group to provide coverage for absence where necessary.

Required qualifications, capabilities, and skills:

  • Full competency in diary management, can apply good judgment and has an understanding of competing priorities.
  • Strong, executive communication style.
  • Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimize traveller's time.
  • Can demonstrate pro-activity and ownership within a role.
  • Strong technical capabilities, experience of Outlook calendar management required.
  • Awareness of expense arena, expense systems and cost control initiatives e.g. can champion expense policy, process expenses in a timely manner and reconcile accounts accurately.
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively with peers.
  • Exhibits a positive, common sense, constructive attitude to drive bankers schedule and help manage time effectively.
  • Is flexible, willing and open to change.
  • Has a high level of attention to detail and delivers high quality results.

The Client Service Manager, based in Dublin, acts as a single point of contact, escalation and advocate for all of our client’s servicing requirements. It will require working in partnership with internal partners and clients, ensuring agreed service levels are met and future needs understood. The successful candidate to act as primary escalation point for the client on day-to-day issues, but will also require project work and ad-hoc requests, and management of their change agenda. The role will also involve being a key stakeholder in the ongoing development of our ETF product offering.

This is a client focused role requiring a broad coverage across a wide range of services and issues, and will require a high level of responsiveness and focus on improving the client experience in order to support potential business growth
Job Responsibilities:

  • Manage a portfolio of high growth/complex/strategically important clients of the ETF business within Securities Services
  • Responsible for ensuring exceptional levels of service to the clients and managing their expectations in coordination with business partners
  • Act as key contact and escalation point for the client, key stakeholders, and the business for all service-related client matters.
  • Ensure complex client issues are resolved with minimum impact to the client and the business, and in a timely and effective manner. This will often involve working cross functionally across a number of departments such as Sales, Operations, Onboarding, Product, Product Development and Technology teams and obtaining “buy in” from the business to meet the clients’ needs and achieve a manageable solution
  • Set-up and management of a governance process covering all products that incorporates appropriate measurement and monitoring of service levels, utilising KPI and RAG ratings
  • Improve efficiency and reduce risk by seeking opportunities to enhance the operating model and influencing client behaviours
  • Ensure accurate and timely fee billing for all products
  • When the need arises, define and manage a remediation project to address any areas where service is no longer meeting client expectations
  • Act as the client advocate across the business to ensure their requirements and expectations are understood and factored into decision making
  • Ability to perform direct client communication as appropriate and broker successful outcomes to difficult and complex issues. Communicate in a clear, concise and efficient manner.

Required Qualifications, Capabilities , and Skills

  • Client Management & Presentation - Experience in dealing with complex/demanding client organizations and an ability to develop strong client relationships. Must be confident, articulate and be able to combine diplomacy and assertiveness in leading client meetings such as service reviews or ad-hoc issue/resolution meetings.
  • Communication – Excellent communication and diplomacy skills with an ability to influence and manage effectively across a large virtual team at all levels
  • Problem solving – Ability to resolve problems in complicated, unique and dynamic situations where the analysis of situations or data requires an in-depth evaluation of procedures and associated regulations, with input from multiple stakeholders
  • Planning and organising – Ability to work independently and multi-task under pressure.

  • Oversee and deliver corporate governance and company secretarial services to the Firm’s subsidiaries that operate in Ireland.
  • Act as the lead strategic business partner to senior stakeholders within EMEA (primarily in Ireland or related to Irish legal entity boards), the Ireland Senior Country Officer and other senior executives, providing advice on corporate governance and company secretarial matters that relate to Irish legal entities and branches, and leading on material communications with board directors.
  • Work closely with the Head of OTS for Ireland and other members of OTS globally in delivering the strategic and operational objectives of OTS.
  • Provide proactive support to Irish boards and senior management (within and outside of Ireland) on corporate governance matters that relate to legal entities within the Irish business.
  • Oversee and deliver day-to-day corporate governance and company secretarial services in respect of Irish legal entities, including board/board committee governance and legal entity management.
  • Monitor changes in corporate legislation and the financial services regulatory environment and take or recommend action as appropriate.
  • Oversee and coordinate information flows to Irish legal entity boards and board committees, by proactively driving the agenda-setting process with the relevant board or committee Chair and partnering with relevant stakeholders on the preparation of board and committee meeting/briefing materials.
  • Act as an effective channel of communication for Irish legal entity board members, with a particular focus on non-executive directors.
  • Provide support and to coordinate board member onboarding, induction and ongoing training, in conjunction with relevant stakeholders within EMEA.

Required qualifications, capabilities, and skills
Essential: Strong degree-level academic background.

  • Part/Fully Qualified Company Secretary, Corporate Governance Professional or Corporate Solicitor with at least three years of relevant experience.
  • Track record of strong execution on corporate governance and company secretarial matters within a high-profile environment, including extensive interaction with non-executive directors.
  • Track record of delivering change and driving corporate governance best practice.
  • Detailed understanding of corporate governance matters impacted by changing law and regulations in the financial services industry.
