We are seeking an Executive Assistant to support our Vice President of DEATCH (Germany Austria Switzerland), based in Berlin. This role requires proactively anticipating the needs of the VP, taking the initiative to solve problems independently while displaying appropriate judgment.


Essential Responsibilities:

  • Manages calendar of the executive and daily work with some instruction from others.
  • Performs general administrative duties such as travel, expenses, department distribution list, purchase orders, ordering supplies in accordance with standard procedures & practices.
  • Engage and collaborate with the immediate team & internal partners.
  • May act as a delegate for the executive when reviewing and approving expense reports
  • Proactively identifies opportunities to increase efficiency and improve processes, anticipating the needs of the executive & team
  • Collaborate regularly with peers and internal partners while developing and maintaining strong relationships.

Expected Qualifications:

  • Minimum of 3 years of relevant work experience

Responsibilities:

  • Providehigh-touch executive administrativesupport to the Vice President and Berlin site leader as well as ad hoc support to local leaders and work with their teams to support overallbusiness objectives.
  • Coordinate andmanage internal and externalmeetings at the executive (C-suite) level, includingGlobal Market leadershipteam onsite meetings and events managing the budget, key stakeholders and any special requirements. Thisrole includes interaction withCEO staff Executive Assistants and C-suiteexecutives.
  • Help to design and administer an operating rhythm for the team
  • Support the planning and execution of executive visits the site including logistics agendas and liaising with stakeholders on site.
  • Act as key point of contact for communication regarding site wide initiatives, ensuring smooth collaboration across teams
  • Drive key team activities and meeting coordination (staff meetings, all-hands meetings, quarterly onsites/offsites); including agendas, track and help drive completion of key deliverables and follow up on outstanding items.
  • Organise merchant events for the Berlin team
  • Exchange with all the Affinity Group (Pride, Unity, Rise, Thrive, etc.) to organize events, get-togethers, etc.
  • Enable the office team to operate from onboarding, IT supplies and administration.
  • Work with external vendors and all other related facilities management.
  • Follow up on action items on behalf of the leaders as appropriate
  • Provide effective and expeditious calendar management and meeting coordination including agendas, notes and follow-up as needed
  • Manage room bookings and video conference facilities on site
  • Make travel arrangements expeditiously and accurately for both domestic and international travel
  • Prepare and track purchase orders and expense reports
  • Partner with EAs per group in order to learn, share best practices and foster cross-functional collaboration at all times

  • Organize events for the DEATCH teams based team to create engagement

Experience:

  • 3+ years relevant work experience supporting at the VP or above levels in a complex and dynamic environment.
  • Prior experience in handling a wide range ofadministrative-relatedtasks, organizing large meetings acrosstime zones andarranging travel.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
  • Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, andprovide timely follow-throughon projects.
  • Highly organized with an abilityto demonstrate meticulousattention to details, adaptability,flexibility, resourcefulness andefficiency.
  • Self-starter and self-directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
  • High level ofintegrity required forhandling sensitiveand confidentialinformation.
